This position plays a vital role in delivering exceptional patient care throughout consultations, surgical procedures, aesthetic treatments, follow-up care, and day-to-day clinic operations. The ideal candidate is energetic, organized, clinically skilled, and passionate about aesthetics, patient education, and surgical excellence. Position Summary The Aesthetic Medical Assistant is a key liaison between patients and providers while assisting with in-office surgical procedures, pre-operative and post-operative care, aesthetic treatments, inventory management, patient education, scheduling, and social media content creation in addition to actively participating in growing our aesthetic patient base. This role requires strong clinical judgment, excellent communication skills, attention to detail, and adherence to facility safety standards. Essential Duties and Responsibilities Aesthetic Treatments & Patient Care Escort patients and prepare them for physician evaluation Conduct comprehensive skin analyses/develop customized skincare regimens Educate patients on products, procedures, and treatment recommendations Assist with and/or perform aesthetic procedures while maintaining patient safety and comfort Capture detailed before-and-after photography for documentation and marketing purposes Properly numb patient skin using local anesthetics under physician direction Prepare injectables and treatment products including Botox, dermal fillers, ACORN, and Sculptra Complete accurate cosmetic superbills and treatment documentation Obtain and document medical histories and confirm purpose of visit Maintain efficient patient flow and assist providers during clinic operations Answer high-volume patient calls, emails, and inquiries promptly and professionally Schedule procedures and follow-up appointments appropriately Collect payments and deposits for procedures, products, and treatments Ensure treatment rooms remain fully stocked, organized, and sanitized Perform basic wound care and suture removal and educate patients on post-procedure care and physician protocols In-Office Surgical Consultations Serve as the primary point of contact for patients undergoing in-office procedures and treatments Greet patients while maintaining a positive and energetic atmosphere Escort patients to exam rooms and review medical history and medications prior to consultation Assess patient goals, needs, and candidacy for procedures Educate patients in detail regarding procedures, recovery expectations, and pre/post-operative instructions Prepare consultation quotes and financial estimates Coordinate surgery scheduling, collect deposits, and reserve surgical dates In-Office Pre-Operative Appointments Prepare and organize all pre-operative paperwork and consent forms Review medical history, medications, financial policies, revision policies, cancellation policies, surgical and procedural informed consents, and rescheduling guidelines Thoroughly educate patients on pre-operative and post-operative care instructions Scribe prescriptions and ensure medications are transmitted to the pharmacy Collect final balances and document patient financial information accurately Surgical Assisting Prepare and maintain sterile fields for in-office surgical procedures Inspect surgical equipment, instruments, and supplies for proper functionality and sterility Assist the surgeon during procedures by maintaining clear operative fields with retractors, suctioning, irrigation, and sponges Assist physician during clinical procedures including but not limited to: Excisions Surgical revisions Renuvion J-Plasma procedures alloClae/dermoClae Additional cosmetic and aesthetic treatments Prepare, administer, and document medications as directed Monitor patient vitals and communicate any adverse reactions immediately Apply wound care dressings and post-surgical garments Educate patients on wound care and post-operative recovery instructions Maintain accurate patient charts, surgical notes, and health records Clean, sterilize, wrap, and organize instruments and surgical equipment, properly dispose of contaminated waste, sharps, biohazard materials and operate autoclave equipment Maintain sterilization logs and compliance documentation Inventory Management Design and maintain inventory tracking systems for medical and office supplies Conduct weekly inventory reviews to prevent shortages or overstocking Order supplies and negotiate cost-effective purchasing with vendors Build and maintain vendor relationships with suppliers Receive, unpack, and stock inventory deliveries Specialized Treatment Responsibilities Acorn Cell Banking Educate patients on hair follicle cell banking procedures/registration process Schedule collection appointments/obtain required consents Perform scalp cleansing/follicle collection procedures with precision Package and prepare specimens for transport to processing facilities Document all patient interactions and treatment notes accurately PRP & Exosome Treatments Conduct patient consultations/determine appropriate treatment plans Perform sterile venipuncture/PRP processing procedures Administer PRP treatments while maintaining patient comfort and safety Provide post-treatment scalp/skin care and patient education Maintain accurate treatment records and follow-up scheduling SkinPen Microneedling Educate patients regarding treatment plans and expected outcomes Apply numbing agents and prepare treatment areas Perform SkinPen microneedling treatments with precision Apply PRP and post-treatment products as indicated Provide post-treatment care instructions and product recommendations Vivace RF Microneedling Conduct consultations/educate patients on treatment protocols Determine appropriate treatment
