Job Description

Position Summary The Medical Administrative Assistant provides high-level administrative and operational support to the management team of a multi-office medical practice. This role is responsible for coordinating special projects, assisting with policy and procedure development, supporting human resources functions, and helping ensure compliance with regulatory and organizational standards. The ideal candidate is highly organized, detail-oriented, professional, and able to manage multiple priorities in a fast-paced healthcare environment.
Essential Duties and Responsibilities:
Assist leadership with the planning, coordination, and completion of administrative and operational projects. Develop, maintain, and update company policies, procedures, and standard operating documents. Collaborate with department managers to ensure policies and workflows are implemented consistently across all locations. Coordinate and prepare annual employee performance reviews, including tracking deadlines, preparing documentation, and maintaining records. Assist with onboarding and orientation materials for new employees. Maintain employee files and administrative records in accordance with company policies and applicable regulations. Create and update forms, templates, checklists, and internal communications to support office operations. Assist with accreditation, compliance, and quality improvement initiatives, including organizing required documentation. Prepare reports, presentations, meeting agendas, and meeting minutes for leadership and management meetings. Track and monitor project timelines and follow up with team members to ensure deadlines are met. Support the implementation of new processes and workflow improvements. Maintain confidentiality of sensitive employee, patient, and company information in accordance with HIPAA and organizational policies. Perform other administrative and operational duties as assigned. Qualifications Associate's or Bachelor's degree in Healthcare Administration, Business Administration, Human Resources, or a related field preferred. Minimum of 2 years of administrative experience, preferably in a healthcare or medical office setting. Experience with project coordination, policy and procedure development, or human resources support is highly desirable. Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace applications. Familiarity with HIPAA regulations and healthcare compliance standards preferred. Knowledge, Skills, and Abilities Excellent organizational and time management skills with the ability to prioritize multiple projects simultaneously. Strong written and verbal communication skills, with exceptional attention to detail. Ability to draft professional documents, policies, and internal communications. Strong problem-solving and critical-thinking abilities. Ability to maintain discretion and confidentiality with sensitive information. Self-motivated and able to work independently while collaborating effectively with a team. Proficient in document management, data tracking, and administrative reporting. Work Environment Office-based position within a medical practice setting. May require occasional travel between practice locations. Standard business hours with occasional flexibility needed to meet project deadlines. This position plays a key role in supporting the administrative infrastructure of the practice, helping to improve operational efficiency, maintain compliance, and foster a positive and organized work environment.
