In this role, you will provide essential administrative support, ensuring smooth clinic operations and excellent patient service. Your proactive approach and attention to detail will help create a welcoming environment for families and support our therapists in delivering exceptional care. Responsibilities Greet patients and families warmly at the front desk, managing check-in and check-out procedures with professionalism and kindness Schedule appointments efficiently using medical scheduling software; coordinate with therapists to optimize daily clinic flow Manage patient records accurately by updating electronic health records (EHR systems) Handle phone inquiries with excellent phone etiquette, directing calls appropriately and providing clear information to families and providers Assist with medical documentation review, coding (CPT, ICD-9/10), and billing processes to support accurate medical billing and care plans Maintain organized filing systems for medical records, correspondence, and administrative documents while ensuring confidentiality and security Assist with policy and procedure writing Occasional help assisting with patients Experience Prior experience in a medical office or clinic environment is highly preferred, especially within pediatric or therapy settings Demonstrated proficiency with EMR systems preferred Strong knowledge of medical terminology, ICD coding (ICD-9/10), CPT coding, and Medicare guidelines for accurate documentation and billing Experience with medical collection processes and insurance verification procedures Bilingual abilities are highly valued to effectively communicate with diverse patient populations Strong organizational skills with the ability to multitask in a fast-paced environment while maintaining attention to detail Flexibility to be tasked with many types of office duties on the computer, and around the clinic based on current need Join us in making a meaningful difference!
