Job Description

Job Summary We are seeking a highly organized and friendly Bilingual Front Desk Receptionist/Medical assistant with experience to join our team. The ideal candidate will serve as the first point of contact for our clients, providing exceptional customer service while managing various administrative tasks. This role requires proficiency in office management, strong communication skills, and the ability to multitask effectively in a fast-paced environment. The Front Desk Receptionist plays a key role in ensuring a welcoming, professional, and efficient environment for patients and providers in a psychiatric practice. This position is responsible for managing the front desk operations, including patient scheduling, check-in and check-out, communication, and administrative support. The receptionist is often the first point of contact for patients and must maintain a compassionate, confidential, and professional demeanor at all times. Key Responsibilities Patient Interaction Greet patients warmly in person, by phone, and via electronic communication. Assist patients with the check-in/check-out process, verifying insurance and demographic information. Provide patients with intake paperwork, consent forms, and office policies as needed. Answer questions regarding appointments, office policies, and services while maintaining professional boundaries. Handle patient concerns or complaints with empathy and escalate to appropriate staff when necessary. Scheduling & Coordination Schedule, reschedule, and confirm patient appointments, including psychiatric evaluations, follow-ups. Manage provider calendars to optimize scheduling and reduce patient wait times. Coordinate telehealth appointments, ensuring patients have correct login information and troubleshoot basic access issues. Administrative Duties Verify insurance eligibility and collect copayments or balances at the time of service. Process patient payments and maintain accurate financial records. Maintain HIPAA-compliant handling of patient information and documentation. Scan, file, and organize patient records, correspondence, and referrals. Monitor office supplies and assist with ordering as needed. Communication Answer phone calls, take messages accurately, and route calls to the appropriate staff. Send appointment reminders via phone, text, or email. Communicate professionally with patients, providers, pharmacies, and insurance companies.
