The ideal candidate will possess strong administrative skills, a solid understanding of medical terminology, and experience working with electronic health record (EHR) systems. This role involves managing patient interactions, coordinating appointments, handling medical billing and coding, and ensuring compliance with healthcare regulations such as HIPAA. The Medical Office Administrative Assistant will serve as a vital link between patients, healthcare providers, and administrative staff to foster a smooth and professional clinical environment. Responsibilities Greet patients warmly and manage front desk operations, including multi-line phone systems, appointment scheduling, and patient check-in/check-out procedures. Verify insurance coverage, perform insurance authorization and verification processes, and handle billing inquiries . Accurately review and update medical records while maintaining strict adherence to HIPAA regulations for health information management. Assist with medical coding (including
CPT, ICD-9, ICD-10
), and ensure proper submission for medical billing processes. Support clinical staff by managing care plans documentation, intake procedures, and coordinating patient follow-up appointments. Maintain organized filing systems for medical records and ensure timely documentation of patient interactions within EMR systems such as eClinicalWorks or Eaglesoft. Demonstrate excellent phone etiquette while handling appointment scheduling, patient inquiries, and communication with insurance companies or external providers. Perform clerical duties including data entry with 10-key typing skills, filing, faxing, and managing office supplies to ensure a well-organized clinic environment. Utilize computer skills in Microsoft Office Suite to prepare reports, correspondence, and other administrative documents efficiently. Provide exceptional customer service by addressing patient needs promptly and professionally in a fast-paced healthcare setting. Experience Prior experience working in a medical office or healthcare environment would be a plus; clinical office experience is highly preferred. Proficiency to quickly learn EMR/EHR systems Knowledge of medical billing procedures including insurance verification, claims processing, and insurance regulations is necessary. Familiarity with medical coding (CPT codes), ICD coding (ICD-9/ICD-10). Strong understanding of HIPAA compliance standards to safeguard patient information. Bilingual abilities are advantageous to effectively communicate with diverse patient populations. Demonstrated clerical skills including filing, multi-line phone operation, typing accuracy (including 10-key), and office management tasks are essential for success in this role.
