Clinical Assistant

We are currently seeking a polished, upbeat, and compassionate individual to join our team as a full-time Clinical Assistant. This role is ideal for someone who thrives in a fast-paced environment, enjoys building relationships with patients, and takes pride in delivering a high level of customer service and attention to detail. As a Clinical Assistant, you will play an essential role in creating a seamless and welcoming patient experience from start to finish. You will be one of the primary points of contact for patients while also supporting providers and assisting with daily front office and clinical operations. The ideal candidate is proactive, organized, tech-savvy, and able to multitask while maintaining professionalism and composure. Responsibilities Greet and welcome patients in a warm, professional manner Answer and manage incoming phone calls, texts, emails, and social media inquiries Schedule and confirm appointments according to office protocols Ensure all patient intake forms, consents, and documentation are completed and accurate Assist with patient check-in and check-out processes Collect and process payments accurately Maintain patient records within electronic medical record systems Coordinate communication between providers and patients Educate patients on services, memberships, products, and post-treatment instructions Assist with maintaining treatment rooms, inventory, and office cleanliness Prepare rooms and supplies for appointments and procedures Support front office workflow and daily administrative tasks Assist with marketing initiatives including social media content, stories, patient photos/videos, and promotional events Follow office policies regarding scheduling, cancellations, confidentiality, and patient communication Maintain a positive and collaborative team environment Participate in ongoing training and professional development Perform additional duties as assigned Qualifications High school diploma or equivalent required Excellent communication and interpersonal skills Strong organizational and multitasking abilities Professional appearance and positive attitude Comfortable working in a fast-paced environment Computer, phone, and email proficiency Ability to learn scheduling and electronic medical record systems Dependable, detail-oriented, and team-focused Preferred Experience Experience in a medical office, med spa, wellness clinic, or customer service role Familiarity with electronic medical records and scheduling software Knowledge of aesthetics, skincare, wellness, or cosmetic treatments Social media and content creation experience preferred Experience with patient coordination or front desk operations is a plus What We're Looking For Someone who genuinely enjoys helping people A team player with a strong work ethic A self-starter who takes initiative Someone who is adaptable and willing to grow with the company A candidate who aligns with FitLab Hawai'i's patient-centered culture and brand Benefits Full-time employees may be eligible for: Paid time off Employee discounts on services and products Opportunities for continued education and training Growth opportunities within the company Wellness and aesthetic treatment perks Supportive and collaborative team environment Compensation Competitive hourly pay based on experience, qualifications, and training.
