Assistant-Administrative Clinical Care Job Description Overview Location:
Simon Cancer Center Schedule:
Monday-Friday, 8:00 AM - 4:30 PM Position Overview This role provides essential administrative support within a clinical practice, ensuring smooth coordination of patient care, communication, and operational workflows. This position serves as a key liaison between internal clinical teams and external providers, supporting patient transitions of care and maintaining accurate documentation. Key Responsibilities Maintain daily team census and new admission lists Complete admission sheets for all new patients Track and update patient movement (discharges, transfers, changes in service) Distribute admission and transfer summaries to Primary Care Physicians and OB offices Follow up on outstanding discharge summaries to ensure completion Coordinate and obtain completed Home Care documentation for discharged patients Manage inbound and outbound fax communications and ensure documentation accuracy Support clinical workflows through documentation tracking and communication coordination Team & Stakeholder Collaboration Partner closely with Data Coordinator team members on daily workflows Work directly with Neonatologists to obtain signatures and complete required documentation Communicate regularly with external PCP and OB offices to provide patient updates Success Profile Strong ability to navigate multiple systems and workflows efficiently Builds and maintains positive working relationships across teams Demonstrates strong organization and attention to detail in a fast-paced environment Able to manage multiple priorities while maintaining accuracy Preferred Qualifications & Skills Experience in an administrative or clinical support role within healthcare Strong computer skills with ability to learn and navigate systems such as EMR, RedCap, Cerner, and Epic Highly organized with strong attention to detail Comfortable working with patient documentation, data tracking, and fax systems Strong communication and coordination skills Onboarding & Training Structured onboarding with approximately 4 weeks of training , including: Web-based learning modules Hands-on, "elbow-to-elbow" training with current team member prior to retirement Additional Responsibilities Coordinate patient scheduling, referrals, and follow-ups Maintain and update patient health records in the EHR system Verify insurance and support authorization processes as needed Respond to patient and provider inquiries with professionalism and empathy Assist with general administrative support including calendar and meeting coordination Why Join This Team You'll be joining a highly collaborative clinical environment where your work directly supports patient care coordination and provider communication across the continuum
Requirements:
High School Diploma/GED is required. Requires 0-2 years of relevant experience. Experience with a matrix organization and complex work environment is a plus. Requires basic proficiency in MS office (Word, PowerPoint, Excel). Requires demonstrated proficiency in electronic health records and patient-facing communication.
