Position Summary:
The Clinic Support Specialist (CSS) plays a vital role in ensuring a seamless experience for our clients, families, and clinical team. This position is responsible for front office operations, client communication, and administrative support to maintain efficient clinic flow.
Schedule:
This role can consider someone as part time or full time. Typical office hours are Monday - Friday.
Key Responsibilities:
Greet and check in clients and families, ensuring a positive and welcoming experience Manage incoming calls, messages, and general inquiries Coordinate scheduling within the EMR system and communicate with clinical staff Support intake processes and collaborate with the intake team as needed Assist with insurance-related tasks, including verifying benefits and handling authorizations Maintain accurate and timely documentation in all systems Monitor clinic flow and communicate client arrivals to staff promptly Address and de-escalate client concerns professionally, escalating when appropriate Support general administrative duties to ensure clinic efficiency
Qualifications:
Associate's degree required; bachelor's degree preferred 1-3 years of relevant experience in a medical, therapy, or administrative setting preferred Strong organizational and multitasking skills Excellent communication and customer service skills Ability to work in a fast-paced environment while maintaining professionalism Experience with children, &/or children with disabilities Experience with EMR systems and insurance processes is a plus Quick study and eager to learn Demonstrate a self-initiative spirit Proficiency in Microsoft Office 365 required
