Job Description

Summary The Flex Medical Assistant (Flex MA) is a versatile, dual-role member of the care team who rotates between front desk operations and direct clinical support based on daily staffing needs and patient volume. The Flex MA is a critical link between administrative and clinical functions, ensuring that patients receive a seamless, welcoming, and high-quality experience from check-in through encounter. This position requires strong communication skills, clinical competency, adaptability, and a deep commitment to the communities served by New Orleans East Louisiana Community Health Center (NOELA). Responsibilities Front Desk & Administrative Duties Greet and register patients in a courteous, culturally responsive manner Verify and update patient demographics, insurance information, and consent forms in the EHR Schedule, confirm, and manage patient appointments; coordinate same-day and walk-in scheduling Collect and process co-pays, sliding scale fees, and patient payments accurately Answer multi-line phone system; triage and route calls appropriately Prepare and distribute encounter paperwork and patient education materials Scan and index medical records and referral documents into the EHR Monitor and manage the waiting room to ensure patient comfort and flow Communicate wait times and delays to patients professionally Assist with prior authorization requests and referral coordination Maintain front desk logs, end-of-day reconciliation, and audit-ready documentation Clinical & Patient Care Duties Room patients and obtain vital signs (blood pressure, pulse, temperature, height, weight, BMI, oxygen saturation) Record and update chief complaint, reason for visit, and health history in the EHR Assist providers with examinations, minor procedures, and patient education Administer injections, vaccinations, and medications per provider order and state scope of practice Perform point-of-care testing (urinalysis, glucose, rapid strep, pregnancy tests, etc.) and document results Prepare and stock exam rooms; ensure cleanliness, organization, and compliance with infection control standards Process prescription refill requests and route to providers for review Follow up with patients on labs, imaging, and referral results under provider direction Collect and properly label laboratory specimens; prepare for courier or on-site processing Support chronic disease management workflows including care gap closure and preventive health reminders Assist with Centering Pregnancy group prenatal sessions and other group visit models as assigned Maintain equipment logs, autoclave records, and supply inventories Flex & Cross-Functional Duties Rotate between clinical and front desk assignments based on staffing needs and direction of Practice Manager Serve as a bridge communicator between clinical and administrative teams to optimize patient flow Cover for front desk or MA absences to ensure continuity of care and operations Participate in huddles, staff meetings, and quality improvement activities Support onboarding and peer mentorship of new MA staff as needed Complete required training, compliance modules, and continuing education annually Minimum qualifications High school diploma or GED required Completion of an accredited Medical Assistant training program Current Medical Assistant Certification preferred or five years experience as a Medical Assistant Minimum three (3) year of experience as an MA Proficiency with electronic health records (experience with Athena, or similar preferred) Strong knowledge of HIPAA and patient confidentiality requirements Ability to work in a fast-paced, high-volume Federally Qualified Health Center environment Excellent interpersonal, communication, and organizational skills Bilingual in English and Vietnamese a strong plus; other language proficiency welcomed
