Job Description

At Washington Behavioral Medicine Associates (WBMA), we believe healing happens best when science, compassion, and human connection come together. We are seeking a full-time Medical Assistant who leads with kindness, curiosity, and integrity to join our Brain Modulation Services division. This is more than a medical assistant role. It is an opportunity to walk alongside patients during some of the most meaningful chapters of their mental health journey. Every day, your presence, attentiveness, and care will truly matter. Our multidisciplinary team includes psychiatrists, nurse practitioners, registered nurses, psychologists, neuropsychologists, psychotherapists, and neuroscientists who collaborate to deliver thoughtful, personalized care. We focus on strengths, not labels, and provide training as needed, so our team feels confident and supported in delivering affirming care. As a Medical Assistant in our Brain Modulation Services division, you will play a central role in supporting innovative treatments, including Transcranial Magnetic Stimulation, qEEG, Neurofeedback, and Spravato (esketamine). No prior experience in these modalities is required. Comprehensive training is provided for the right candidate. You will serve as both a steady clinical presence for patients and a key operational partner to our clinical team.

Responsibilities include, but are not limited to, the following: Complete office administrative tasks, including marketing support, screening new patient inquiries, scheduling, obtaining prior authorizations, and handling medical records Serve as a primary technician for TMS and esketamine therapy, with training provided Oversee patients during treatments while ensuring safety, comfort, and dignity Coordinate and schedule patient appointments to ensure efficient session management Record patient vitals per protocol and fully document each encounter Provide and collect informed consent forms prior to the start of any therapy Submit REMS monitoring forms following esketamine and other therapies Administer rating scales to benchmark treatment progress and support continuity of care Deliver exceptional patient care by demonstrating empathy, reflective listening, trust building, and sensitivity to a vulnerable patient population Document and monitor all treatment session notes and relevant information in AthenaHealth while collaborating with the clinical team Maintain a working knowledge of insurance and billing workflows Obtain prior authorizations for TMS, esketamine, and other therapies Administer qEEG guided neurofeedback brain training and neurostimulation Perform EEG acquisition and assessments for treatment planning Implement and monitor individualized neurofeedback training plans Support medication management refills and prior authorizations Verify insurance claims through the EMR system and follow up as needed Resolve claim denials by contacting insurance companies and submitting required documentation Maintain strict HIPAA compliance and patient confidentiality at all times Perform other duties as assigned
Requirements:
A highly motivated individual with a strong work ethic and unwavering integrity. Detail-oriented with excellent organizational skills. Able to interact courteously with patients and staff. Embrace neurodiversity and LGBTQIA+ inclusivity or demonstrate a willingness to learn. Exhibits a positive, energetic, and empathetic demeanor, with a curiosity for ongoing learning and personal growth. Basic knowledge of health insurance pre-authorization processes is a plus. Experience in medical office administration is advantageous. Proficient in general computer skills, including Microsoft Office (Word, Excel, PowerPoint) and Google G Suite. Physically capable of standing for extended periods.
Working In-Person Hours:
Hours of operation are 8:00 AM to 5:00 PM, with some flexibility based on patient needs
Compensation:
