The ideal candidate will possess a strong foundation in medical administrative support, with experience spanning various clinical settings including outpatient clinics, hospital medicine, and emergency care environments. This role requires excellent organizational skills, proficiency in electronic health record (EHR) systems, and a comprehensive understanding of medical terminology and patient care procedures. The Medical Administrative Assistant will play a vital role in ensuring smooth clinic operations, facilitating effective communication between patients and healthcare providers, and supporting the delivery of high-quality medical services. Duties Manage patient intake processes by collecting accurate demographic and insurance information, verifying insurance coverage, and updating electronic health records efficiently. Schedule appointments, coordinate referrals, and manage provider calendars to optimize clinic flow and reduce wait times. Assist healthcare providers with documentation of vital signs, patient histories, and other clinical data during outpatient visits or inpatient admissions. Support clinical staff by preparing examination rooms, handling specimen collection, and assisting with basic procedures such as X-ray documentation or medication administration under supervision. Maintain thorough knowledge of medical terminology, ICD coding standards, and anatomy to accurately document patient encounters and facilitate billing processes. Ensure compliance with hospital policies, including Level I Trauma Center or Level II Trauma Center protocols when applicable, to uphold safety standards. Facilitate communication between patients and providers regarding treatment plans, follow-up care, and medication instructions while maintaining confidentiality. Operate EHR systems efficiently for documentation, order entry, and retrieval of patient information to support seamless clinical workflows. Experience Proven experience supporting medical teams within outpatient clinics or hospital environments such as Geriatrics, Internal Medicine, or Medical-Surgical units. Familiarity with hospital medicine practices including inpatient care procedures and Level I or Level II trauma center operations. Hands-on experience with emergency medicine settings or urgent care clinics is highly desirable. Knowledge of physiology, anatomy, pharmacology related to medication administration, and basic life support (BLS) certification is preferred. Experience working with specialized departments such as PICU (Pediatric Intensive Care Unit), OR (Operating Room), or Radiology (X-ray) enhances suitability for this role. Strong understanding of ICD coding for accurate billing and documentation in diverse medical specialties including dermatology or internal medicine. Demonstrated ability to manage multiple priorities efficiently in fast-paced environments while providing exceptional patient service.
