Position Overview The Administrative Assistant - Medical assists in day-to-day administrative operations of the office of the Chief Medical Officer (CMO), Director of Clinical Services, Integrated Behavioral Health and Ryan White. The Administrative Assistant - Medical is responsible for coordinated and effective communications, meetings and events, planning and development of clinical departments.
THIS POSITION OFFERS A 40-HOUR WORKWEEK, NO WEEKENDS, FULL BENEFITS PACKAGE, 12 PAID HOLIDAYS, BI-WEEKLY PAY.
Essential Tasks Coordinates functions within the clinical department and among other departments within the organization, enhancing organizational efficiency and effectiveness. Prepares correspondence and other documents for approval and distribution. Receives and organizes requests for leave that require Chief Medical Officer approval. Receives and organizes purchase orders and other documents that require Chief Medical Officer review and/or approval; including clinical audit reports. Supports the Chief Medical Officer by organizing and preparing agenda items for monthly meetings; preparing minutes and other supporting materials. Monitors clinical policies and procedures for review and revision. Monitors clinical position descriptions for review and revision. Coordinates annual performance reviews for the Chief Medical Officer. Experience and Education High school diploma or GED. Minimum five years of administrative assistant experience. Effective organizational skills, interpersonal and communication skills. Intermediate level experience with MS Word, MS Excel, and MS PowerPoint. Must have the ability to maintain confidentiality. Must be detail oriented. Must have the ability to multi-task. Schedule Monday to Friday 8am-5pm 8 hour shift Day shift Physical Requirements Constant standing and walking, occasional bending, stooping, lifting, reaching forward and overhead. May occasionally be required to lift patients, office equipment and paper, usually not exceeding fifty pounds of direct lift. Frequent computer work required.
