This role is ideal for a highly organized Medical Assistant with experience in procedural or surgical environments who enjoys training staff, ensuring compliance, maintaining patient safety standards, and supporting efficient clinic operations. Position Summary The Procedure Lead Medical Assistant serves as the primary clinical and operational support resource for Procedure Technicians and procedure floor staff. This position oversees daily workflows, compliance processes, sterilization procedures, staff competencies, procedure scheduling, patient safety initiatives, inventory management, and operational readiness across multiple clinic locations. Key Responsibilities Clinical Compliance & Documentation Oversight Review and verify daily compliance logs, including temperature logs, glucose testing, hCG testing, waiver forms, and procedure documentation. Ensure documentation accuracy, completeness, and compliance with clinic standards and regulatory requirements. Verify testing supplies, reagents, and strips are properly stored and within expiration dates. Maintain organized compliance records and support audit readiness. Initiate corrective action when documentation discrepancies are identified. Procedure Scheduling Oversight Review daily procedure schedules for accuracy and workflow efficiency. Verify room assignments, procedure classifications, and patient placement. Ensure completion of pre-procedure requirements, including consents, medication instructions, and patient preparation. Identify scheduling conflicts and coordinate corrections with scheduling staff. Assist with procedure scheduling workflows and template management. Patient Safety & Clinical Support Assist with sterile procedure setup and room turnover. Monitor compliance with infection prevention protocols, PPE requirements, and sharps safety standards. Support providers and clinical teams during procedures within scope of practice. Monitor patient flow and assist with maintaining efficient clinic operations. Report safety concerns, incidents, equipment issues, or near misses according to clinic policy. Staff Training & Competency Oversight Train and onboard new Procedure Technicians and clinical staff. Conduct competency assessments and skills validations. Provide ongoing coaching on clinical workflows, patient communication, and documentation standards. Maintain competency and training records. Sterilization & Equipment Oversight Ensure proper cleaning, packaging, and sterilization of reusable instruments. Monitor sterilization logs, biological indicators, and cycle documentation. Coordinate equipment maintenance and repair requests. Remove malfunctioning equipment from service and escalate concerns appropriately. Inventory & Supply Management Maintain inventory levels and par counts across procedure locations. Monitor expiration dates and proper storage of supplies. Coordinate supply ordering and vendor communication. Assist with special orders and inventory tracking. Staffing & Operational Support Assist leadership with procedure floor staffing coordination. Monitor coverage needs and workflow efficiency. Support clinic initiatives aimed at improving patient care and operational performance. Participate in process improvement and quality assurance activities. Qualifications Required Minimum of 2 years of clinical experience in a medical setting. Experience working in procedural, surgical, orthopedic, pain management, interventional, or specialty clinic environments. Experience using eClinicalWorks (eCW) for patient documentation, scheduling, and clinical workflow management. Knowledge of infection control, sterilization protocols, OSHA standards, and patient safety practices. Strong leadership, organizational, communication, and problem-solving skills. Ability to work independently while supporting multiple providers and staff members. Reliable transportation and ability to travel between clinic locations as needed. Preferred Certified Medical Assistant (CMA, RMA, CCMA, NCMA, or equivalent). Pain Management experience. Experience training, mentoring, or leading clinical staff. Experience with procedure scheduling and workflow coordination. BLS Certification. ACLS Certification. Physical Requirements Ability to stand and walk for extended periods throughout the workday. Ability to occasionally lift and carry up to 30 pounds. Manual dexterity sufficient for clinical tasks and instrument handling. Ability to visually monitor patients, equipment, and clinical documentation.
