Position Summary:
Provides administrative and operational support to the Medical Department through coordination of provider services, specialty clinics, scheduling, and general departmental operations. Works collaboratively with providers, consultants, residents, families, and other team members to support efficient department operations and continuity of resident services. Qualifications and Education Required:
High school diploma or equivalent required Previous experience in long-term care, skilled nursing, medical office or healthcare operations preferred. Proficiency with Microsoft Office applications and ability to learn healthcare software systems. Strong organizational, communication, and customer service skills. Previous experience with electronic medical records (EMR) systems preferred. Experience coordinating schedules, records, or administrative functions in a healthcare setting preferred.

Position Responsibilities:
Performs receptionist and administrative duties within the Medical Department, including answering phones, processing faxes, filing, scanning, and general office support. Coordinates scheduling for provider clinics, including Medical, Podiatry, Audiology, Optometry and other specialty services. Maintains provider schedules and assists with scheduling related communications and updates. Processes provider documentation and distribute completed paperwork as appropriate. Maintains departmental spreadsheets, tracking logs, and other operational records. Participates in departmental projects, workflow improvements, and operational initiatives. Cross train in departmental responsibilities to ensure continuity of operations and provide backup coverage during staff absences, vacations, and periods of increased workload. Creates and maintains an atmosphere of professionalism, teamwork, and exceptional customer service for residents, families, providers, staff and external partners Maintains departmental files, records, and documentation in accordance with organizational policies and regulatory requirements. Assists with medical records requests, document retrieval, scanning, filing, and record maintenance as needed. Performs other related duties and special projects as assigned.
Physical Requirements:
Ability to stand, sit, walk, bend, and reach throughout the workday. Ability to carry, lift, and move office supplies, records, and equipment as required. May be required to assist with transporting residents within the facility and moving wheelchairs or equipment as needed. Exposure to
