Office Lead / Regional Operations Manager Position Summary The Receptionist / Medical Assistant serves as a dual-role team member responsible for providing exceptional patient service while supporting providers with clinical and administrative duties. This position ensures a positive patient experience from check-in through check-out while assisting with patient care, rooming, documentation, and office operations. Essential Responsibilities Front Office / Reception Duties Greet patients, visitors, and vendors in a professional and welcoming manner. Check patients in and out for appointments. Verify demographic, insurance, and billing information. Collect copays, balances, and required documentation. Schedule, reschedule, and confirm patient appointments. Answer incoming phone calls and respond to patient inquiries. Manage provider schedules and appointment templates as directed. Scan, upload, and maintain patient records within the electronic medical record (EMR) system. Process incoming faxes, referrals, and medical records requests. Maintain patient confidentiality in accordance with HIPAA guidelines. Medical Assistant Duties Room patients and obtain vital signs, medical history, medications, and chief complaints. Prepare exam rooms and maintain clinical supplies. Assist physicians and providers during examinations and procedures. Document patient information accurately in the EMR. Perform clinical tasks within scope of practice and state regulations. Provide patient education and instructions as directed by the provider. Assist with DME, shoe fittings, casting, orthotics, and other podiatric services as applicable. Clean and disinfect patient rooms and equipment between visits. Coordinate prescription refills, prior authorizations, and referrals as assigned. General Responsibilities Maintain a professional appearance and positive attitude. Support team members and assist at other locations when needed. Participate in staff meetings, training, and continuing education opportunities. Adhere to company policies, procedures, attendance standards, and safety guidelines. Perform additional duties as assigned to support patient care and office operations. Qualifications Required:
High school diploma or equivalent. Minimum one (1) year of customer service experience. Strong communication and organizational skills. Ability to multitask in a fast-paced medical environment. Basic computer proficiency and ability to learn EMR systems. Reliable transportation. Preferred:
Medical Assistant certification (CMA, RMA, CCMA, or equivalent). Previous podiatry, orthopedic, or specialty practice experience. Prior medical office reception experience. Experience with EMR and scheduling systems. Physical Requirements Ability to stand, walk, bend, and sit for extended periods. Ability to lift and carry up to 25 pounds. Ability to assist patients with mobility when necessary. Manual dexterity sufficient to operate office and medical equipment.
