Job Summary The Medical Somatic Administrative Assistant provides crucial support to the Nurse Practitioner and Registered Nurse in delivering medical somatic services to outpatient and residential clients. Key responsibilities include verifying and maintaining insurance information, scheduling appointments, obtaining insurance authorizations, managing medication inventory, and assisting with billing and reporting to grants or funders. This role ensures adherence to policies and procedures, maintains client confidentiality, and supports quality assurance efforts within the organization. The assistant also fosters a positive environment by modeling appropriate behavior and complying with all regulatory standards. Duties & Responsibilities
  • Verifies client insurance benefits, maintains accurate insurance information in the electronic health record, and obtains authorizations for medications and treatments from insurance companies and pharmacies.
  • Schedules client appointments, sends follow-up reminders, and communicates with the treatment team to ensure clients comply with treatment plans.
  • Manages medication inventory, tracks medication administration, and assists with ordering medications as needed.
  • Completes and submits insurance billing forms and tracks medications for billing to grants or other funders, including preparation of related documentation.
  • Upholds professional ethics and client confidentiality, including knowledge of client rights and grievance procedures.
  • Consistently demonstrate adherence to policies and procedures, ensuring regulatory compliance and conducting quality assurance activities.
  • Models positive and professional behaviors for both clients and staff. Qualifications
  • Associate degree in healthcare operations or related field, or equivalent experience, with a strong understanding of medical procedures and insurance verification.
  • Highly organized, detail-oriented, and accurate, with proficiency in typing, filing.
  • Proficient in PC use and knowledgeable in Word, Excel, Access, and Windows.
  • Must demonstrate a caring, positive attitude toward individuals with substance use disorders and their families.
  • Must be eligible for bonding.
  • Ability to work evenings and weekends as needed.
  • Minimum of 2 years in a personal recovery program, if applicable.

$16.00 - $19.23 per hour
