Job Description

Position Title Medical Assistant Reporting Relationship Reports directly to the Clinical Manager Works In Conjunction With Physicians, Advanced Practice Practitioners, front desk staff, and billing team FLSA Status Non-Exempt Schedule 7:30 AM - 5:00 PM, Monday-Thursday with occasional Fridays as determined by clinic need Position Summary The Medical Assistant, under the direction of the Medical Assistant Manager and in collaboration with physicians and advanced practice practitioners, is responsible for providing initial patient rooming, obtaining vital signs, assisting with direct patient care, and performing specialized medical procedures of a routine nature as dictated by established clinical protocol. This role is also responsible for pre-appointment chart preparation, management of provider pool inboxes, communication of patient issues/concerns to providers, phone follow up with patients and other duties as assigned by the manager. The Medical Assistant works collaboratively with clinical and administrative staff to enhance efficiency, optimize quality, reduce costs, and maximize patient satisfaction and safety. This position serves as a key link between patients and providers, ensuring that clinical and administrative tasks are completed accurately and timely. Essential Job Functions Clinical Patient Care Performs initial patient rooming, obtains patient histories, takes vital signs, and prepares charts for medical examinations Assists physicians and practitioners with medical examinations and direct patient care procedures Performs routine specialized procedures, such as sterile dressing changes, under established protocols Administers medication as directed and documents clinical findings Phones in prescriptions under the direction of a medical provider Interviews patients regarding current medications, including dosage and frequency, and enters information into the electronic medical record (EMR) Interviews patients regarding allergies and enters information into the EMR Obtains all pertinent information related to patient pain locations and descriptors and enters information into the EMR Administrative Duties Maintains physician schedules and coordinates appointments, exams, and tests Completes physician orders and facilitates specialist care coordination and referral Performs chart review and preparation to ensure accuracy of physician orders and confirms all required testing is completed prior to patient appointments Provides instructions and directions to patients regarding diagnostic tests, procedures, and treatments Coordinates referrals and authorizations as directed Completes care calls as needed and documents finding in the EMR Compliance and Safety Maintains working knowledge of regulations and standards specific to the clinic, including Medicare service and billing regulations Practices safety, environmental, and infection control methods in accordance with clinic policy Maintains stocks of medicines and medical supplies as necessary Protects patient health information in accordance with HIPAA regulations Collaboration and Communication Works collaboratively with physicians, practitioners, department managers, front desk staff and support personnel to enhance efficiency and optimize quality Communicates and supports clinic policies and procedures Educates and advises patients on specified medical issues within established parameters Demonstrates compassion and caring in all patient and staff interactions Additional Responsibilities Performs data entry of lab studies, assessment results and authorization requests in compliance with physician or practitioner direction Daily decisions and actions demonstrate a high level of engagement and sense of job ownership regarding desired business outcomes: high patient satisfaction and safety, optimal productivity, and high employee morale Qualifications Education High school diploma or equivalent required Experience Minimum one (1) year of medical assistant experience preferred but not required Experience in a healthcare center or specialty clinic preferred Licenses and Certifications Current CPR/BLS certification required Technical Knowledge and Skills Basic computer proficiency, including Microsoft Office Knowledge of medical terminology Familiarity with electronic medical record (EMR) systems - EPIC preferred Understanding of patient evaluation procedures Knowledge of outpatient clinical administrative procedures for Crater Lake Surgery Center Inventory management practices Ability to perform standard clinical procedures according to established protocols Behavioral Competencies Self-directed with the ability to take initiative within scope of practice Excellent verbal and written communication skills Skill in understanding patient education needs and effectively sharing information with patients and families Tact and diplomacy in interpersonal interactions Ability to plan, prioritize, and complete delegated tasks Compassionate and caring demeanor Strong team player Ability to maintain confidentiality in all areas Ability to project a pleasant and professional image Detail-oriented with high accuracy in documentation Working Conditions Physical Setting Combination of medical office and exam/procedure room settings Well-lighted, well-ventilated, with adequate space Use of universal precautions as required Physical Demands Must be able to use appropriate body mechanics techniques when assisting with patient transfers and ambulation Must be able to lift up to 30 pounds of supplies Prolonged periods of standing, walking, and sitting as duties require Schedule 7:30 AM - 5:00 PM, Monday-Thursday Occasional Fridays as needed Occasional overtime may be required but must be approved by the CEO ahead of time Performance Expectations Demonstrates consistent accuracy in vital signs, patient histories, and EMR documentation Completes chart preparation and physician order verification prior to patient appointments Maintains exam rooms and supply inventory according to clinic standards Follows infection control and safety protocols consistently Receives positive feedback from providers, patients, and team members regarding communication and clinical support Meeks productivity and patient throughput expectations established by the Medical Assistant Manager Maintains current CPR/BLS certification
