We're not a large group practice — we're four staff members supporting one endocrinologist, where each person matters and contributes meaningfully to patient care. This is a hybrid clinical and administrative role with regular in-office presence on Wednesdays plus 1-2 other days per week, with the rest remote. If you want to work in healthcare without the chaos of a large group practice, and you value being part of a small, capable team — this might be a great fit. About the Practice We care for patients with diabetes, thyroid conditions, hormone disorders, and other endocrine conditions. About 60% of our patients speak Spanish as a primary language, which is why bilingual fluency is essential for this role. Our patient population is mostly stable and returning — many of our patients have been with us for years. We're known locally for spending real time with patients rather than rushing through visits. We currently provide a significant portion of our care via telemedicine, with in-office visits on Wednesdays at our Newport Beach and Santa Ana offices. As we open additional locations (including Corona within 1-2 months), our in-office presence will expand. The right candidate is excited by this growth, not concerned by the change. Our Office Locations We currently operate from two Orange County locations on a rotating schedule: Newport Beach office — every other Wednesday
  • Santa Ana office — alternating Wednesdays We expect to open a third location in Corona within the next 1-2 months, which will expand our in-office days and may add additional responsibilities for this role.
You should be comfortable commuting to all of these locations as needed. Reliable transportation between Newport Beach, Santa Ana, and (soon) Corona is essential. What You'll Do This is a hybrid role combining clinical and administrative responsibilities. On any given day, you might: Greet and room patients at our Newport Beach or Santa Ana office (on in-office days)
  • Verify patient intake forms are complete (sent electronically through Tebra before each visit) and follow up with patients who haven't completed them
  • Take patient weight at in-office visits when needed and document in Tebra (some patients self-report weight from home, which we also accept)
  • Translate during patient visits between English and Spanish
  • Answer incoming calls through our RingCentral phone system — schedule appointments, handle refill requests, route urgent concerns
  • Process prior authorizations for medications (GLP-1s, insulin, CGMs, etc.) through CoverMyMeds and IPA portals
  • Process referral authorizations through IPA portals (Regal, Monarch, CalOptima, etc.)
  • Triage incoming faxes (Doximity), lab results, and patient emails through our shared inbox
  • Document calls and patient interactions in Tebra
  • Coordinate with our billing partner on insurance verification and patient questions
  • Use Microsoft Teams for inter-team coordination throughout the day The work varies day-to-day.
Some days are more patient-facing; some days are more administrative. We expect the team to be flexible across all of these areas rather than specialized in just one. The Hybrid Model — Important to Understand Our team operates as a hybrid practice. We're in our office every Wednesday (rotating between Newport Beach and Santa Ana) — this is our consistent in-office day. Other in-office days vary based on patient schedule and your role.
Important:
on Wednesdays, you may be the only staff member physically present at the office that day. Other team members work remotely most days. We coordinate by Microsoft Teams throughout the day. This role suits someone who is comfortable working independently with team support via chat and video, but who also values having a physical workspace. If you prefer fully remote work, this role is not a fit. If you want to be in the office every day, this role is also not a fit. The right candidate is comfortable with a structured hybrid arrangement. With the Corona office opening in the next 1-2 months, in-office days will likely expand. We're looking for someone who's excited about being part of our growing practice rather than someone who wants a small, stable scope of work. What We Need From You Bilingual fluency in English and Spanish (required — including comfort translating medical concepts to patients)
  • Medical Assistant certification or equivalent experience (1+ years preferred)
  • Reliable transportation and willingness to commute between Newport Beach, Santa Ana, and (within 1-2 months) Corona offices as scheduled
  • Strong organizational skills — this role involves managing multiple systems and tasks throughout the day
  • Comfort with technology — you'll learn to navigate Tebra EMR, RingCentral phones, Microsoft Teams, CoverMyMeds, multiple IPA portals, Adobe for documents, and email management
  • Genuine interest in patient care — our patients are mostly returning patients with chronic conditions, and they remember good staff
  • Willingness to ask questions and learn — we have detailed documentation and structured onboarding, but every practice has its own ways
  • Reliability and follow-through — small teams depend on each member completing their work without needing constant check-ins What Helps But Isn't Required Experience with Tebra (formerly Kareo) EMR
  • Experience with endocrinology, internal medicine, or chronic disease specialty practices
  • Experience with insurance authorizations (prior auth submissions, referral auth processing)
  • Experience with Microsoft Teams in a professional environment About Learning Curve We want to be honest with you: there's a real learning curve in this role.
You'll be using several different systems daily, and our specialty (endocrinology) has specific nuances around medications and authorizations that take a few weeks to learn fully. We have structured onboarding documentation and support from existing staff, but expect 4-6 weeks before you feel fully comfortable with the work. We hire people who want to learn, not people who already know everything. Curiosity and patience matter more than experience.
Compensation and Benefits Hourly rate:
$20-26/hour, depending on experience and qualifications
