Full-Time / 1099 Independent Contractor Job Summary The Certified Medical Assistant (CMA) plays a critical role in the delivery of advanced, rapid-acting treatments for Treatment-Resistant Depression (TRD) and other severe mental health conditions. Working under the direct supervision of the clinic's psychiatric medical providers (MDs/PMHNPs), the CMA balances traditional clinical duties with specialized patient monitoring for interventional treatments, including Spravato® (esketamine) nasal spray. The ideal candidate possesses a high degree of clinical empathy, rigid attention to detail regarding controlled substance protocols, and the ability to comfortably manage patients experiencing acute, transient psychological changes. RESPONSIBILITIES
Key Responsibilities 1.
Interventional Treatment Monitoring & Patient Care REMS Observation Window:
Conduct the mandatory 2-hour visual monitoring and safety observation for patients undergoing Spravato® treatments.
Vitals Tracking:
Measure, record, and closely monitor patient vital signs (specifically blood pressure and pulse oximetry) at strict baseline, 40-minute, and 120-minute intervals during treatment.
Side Effect Management:
Assess and document transient side effects, including acute dissociation, sedation, nausea, and blood pressure spikes; immediately escalate anomalous readings or severe adverse events to the on-site prescribing clinician.
Therapeutic Environment:
Maintain a calm, low-stimulus, and therapeutic treatment room environment to support optimal patient experiences during neuroplastic windows. 2.
Clinical Documentation & Compliance EMR Charting:
Accurately log all patient encounters, treatment dosages, vital sign trends, and clinical notes in the Electronic Medical Record (EMR) system in real-time.
FDA REMS & DEA
Chain-of-Custody:
Strictly adhere to
FDA REMS
regulations by completing and submitting Patient Treatment Case Report Forms. Log device lot numbers, expiration dates, and disposal metrics to maintain bulletproof controlled substance inventory audits.
Prior Authorization Support:
Assist the intake and billing teams by gathering clinical baseline data (e.g., PHQ-9, GAD-7, MADRS scores) required for insurance authorizations. 3.
Clinic Operations & Logistics Inventory Safety:
Assist in the safe receiving, logging, and double-locked storage of Schedule III controlled substances.
Room Turnover:
Sanitize, reset, and stock treatment rooms between sessions to ensure compliance with infection control standards.
Clinic Flow:
Manage daily patient scheduling flow, ensuring timely rooming of patients to maximize provider efficiency.
Booking Coordination :
Schedule appointments and coordinate referrals. Verify patient demographics and insurance information. Answer incoming phone calls and respond to patient inquiries professionally. Assist patients with completing required medical forms and documentation. Perform other duties as assigned.
QUALIFICATIONS
Required High school diploma or GED. Active Basic Life Support (BLS) / CPR certification. Completion of an accredited Medical Assistant program or equivalent work experience. Strong interpersonal, organizational, and communication skills. Basic computer proficiency, including Microsoft Office and electronic medical record (EMR/EHR) systems. Ability to multitask while maintaining accuracy and professionalism. Knowledge of HIPAA and patient confidentiality requirements. Preferred Active National Certification as a Certified Medical Assistant (CMA) or Registered Medical Assistant (RMA) from an approved board (AAMA, AMT, NHA, or NCCT). One year of experience in a physician office, outpatient clinic, or ambulatory care setting. Experience performing vital signs, specimen collection, EKGs, and other basic clinical procedures. Physical Requirements Ability to stand and walk for extended periods. Ability to lift up to 25 pounds. Manual dexterity to operate medical equipment and computer systems. Ability to bend, reach, and assist patients as needed.
