This role is ideal for someone who is organized, professional, comfortable working with patients, and able to help keep the clinic running efficiently. This is not a fast-paced, high-volume environment . We value giving each patient the time, attention, respect, and quality care they deserve. The right candidate will understand the importance of creating a calm, professional, and welcoming experience for every patient. This position will begin as a part-time/contract or probationary role with the potential to grow into a long-term position as the practice expands. Team members may also have the opportunity to earn commission or incentive-based compensation on approved retail sales and services booked, in accordance with company policy, training, and applicable healthcare guidelines. Position Summary The Office & Clinical Support Assistant will help with administrative operations, front desk duties, chart preparation, patient rooming, inventory, scheduling, sales support, and general clinic flow. The ideal candidate must be comfortable working in a healthcare setting, interacting with veterans and med spa patients, maintaining confidentiality, and supporting a high-standard clinical environment. Duties Prepare charts for medical examinations, including reviewing appointment schedules, organizing required forms, confirming patient information, and ensuring documentation is ready before the visit. Assist with front desk operations, including greeting patients, answering calls, scheduling appointments, confirming appointments, responding to basic inquiries, and maintaining a professional patient experience. Room patients by obtaining basic information, documenting patient intake, assisting with vital signs if trained and authorized, and preparing the room for the provider. Support veteran medical examination workflow by preparing files, organizing records, identifying missing documents, and helping improve exam-day efficiency. Assist with med spa operations, including patient check-in/check-out, consent form completion, before-and-after photo workflow, treatment room turnover, and patient education materials. Maintain inventory of office, clinical, and med spa supplies, including tracking stock levels, organizing products, notifying provider of needed orders, and helping prevent supply shortages Support sales and patient conversion by explaining available services, packages, memberships, promotions, and skincare products within approved practice scripts and without making medical claims. Assist with social media/content support as needed, including helping prepare treatment rooms, capturing approved behind-the-scenes content, and organizing photo/video consent documentation. Maintain cleanliness, organization, and professional appearance of front desk, patient rooms, storage areas, and common areas. Follow HIPAA, privacy, infection control, OSHA, and clinic policies at all times. Perform other administrative and clinic-support duties as assigned. Experience Prior medical office, med spa, healthcare, customer service, or front desk experience preferred. Sales or membership/package sales experience is strongly preferred. Excellent communication skills—friendly, clear, and professional in all interactions Basic proficiency with electronic health record systems or similar software applications Ability to handle sensitive information discreetly and uphold confidentiality standards Must be professional, dependable, organized, and able to multitask. Must be comfortable working with veterans, wellness patients, and aesthetic patients. Must have excellent communication skills and a warm, respectful bedside manner. Must be able to maintain patient confidentiality and follow HIPAA requirements. Must be willing to complete clinic-specific training and competency checks before performing any clinical-support tasks. Preferred Qualifications Medical Assistant training, certificate, or prior MA experience preferred, but not required if the role is primarily administrative. BLS/CPR certification preferred or must be obtained within a required timeframe. Experience with EMR systems, scheduling software, chart preparation, or medical documentation preferred. Experience in aesthetics, wellness, IV therapy, weight loss, skincare, or med spa sales preferred. Bilingual ability is a plus.
