As an energetic professional, you will be the backbone of our front-desk and administrative functions, successfully managing multiple priorities at once. The ideal candidate will seamlessly blend traditional administrative duties—such as scheduling and professional phone communication—with essential healthcare responsibilities, including health insurance verification, medical billing and coding, and payment processing. Duties & Responsibilities Front Desk Excellence:
Manage front desk responsibilities in a dynamic, fast-paced reception area, greeting patients and visitors warmly and directing them appropriately.Phone & Communication:
Manage incoming phone calls with excellent telephone etiquette, greeting callers professionally, routing inquiries efficiently, and addressing patient questions.Insurance Verification:
Verify patient insurance eligibility, benefits, and coverage limits prior to appointments; coordinate referrals and quickly obtain necessary prior authorizations.Billing & Coding:
Input and process medical claims utilizing accurate ICD-10 and CPT coding protocols; follow up on claim status and efficiently resolve insurance denials.Payment Collection:
Directly take and process payments from customers/patients (including copays, deductibles, and balances) in person or over the phone; balance the daily cash drawer/POS system accurately.Scheduling & Calendars:
Coordinate and manage complex schedules and rapid appointment calendars for staff members and medical providers.Records & Clerical Support:
Maintain organized physical and digital filing systems, ensuring strict HIPAA compliance. Perform high-accuracy, efficient data entry using Microsoft Office Suite, Google Workspace, and Electronic Health Record (EHR) systems.Office Operations:
Multitask general office duties including tracking supply inventory, ordering office/medical materials, and handling clerical tasks like photocopying, faxing, and proofreading correspondence.Experience & Qualifications Experience Required:
Proven experience in an administrative support or receptionist role, specifically within a fast-paced medical, dental, or healthcare setting.Insurance & Billing Expertise:
Strong working knowledge of health insurance verification processes and medical billing procedures is required.Coding Proficiency:
Demonstrated familiarity or experience with standard medical coding systems (ICD-10, CPT) is required.Payment Handling:
Proven experience taking payments from customers, handling cash/credit transactions, and operating Point of Sale (POS) or billing software.Technical Skills:
Proficiency with office management software including Microsoft Office (Word, Excel) and Google Workspace (Docs, Sheets). Experience with Electronic Health Records (EHR) platforms is highly preferred.Core Skills:
Excellent verbal and written communication skills, strong organizational abilities, and a proven ability to prioritize tasks effectively in a fast-paced environment.
