DCOM CLINICAL MEDICINE
Position Category Staff Full Time Job Description The Administrative Assistant shall assist the Clinical Medicine department faculty and adjunct faculty by performing secretarial duties, organize and maintain the office in the department, coordinate travel arrangements, coordinate calendars including meeting schedules and arrangements, oversee and track faculty reimbursements. Required Qualifications High school diploma; •two years office experience. Preferred Qualifications Two-year degree. Physical Demands Campus Orange Park Florida Job Duty Job Duty promote the mission of Lincoln Memorial University to all faculty, staff, students and to the community at large Job Duty promote effective working relationships among faculty, staff and students Job Duty participate on university committees Job Duty greet and direct visitors in a friendly and professional manner Job Duty answer and direct telephone calls Job Duty maintain multiple calendars/schedules Job Duty provide office support (typing, filing, copying, etc.) as required Job Duty open and sort mail Job Duty maintain records and files Job Duty maintain master attendance sheet for labs Job Duty communicate with students and faculty regarding attendance and inform students of makeup schedules Job Duty create lab schedules for OPP and EPC activities Job Duty manage CME and book allowance per faculty member Job Duty keep track of and process professional memberships dues for clinical medicine faculty Job Duty keep log for; attendance, book allowance, CME Job Duty create lab pairing for OMS-II Job Duty make EPC badges for all OMS students as needed Job Duty order supplies for department workroom and breakroom Job Duty order name badges, white coats, and business cards as needed Job Duty relieve front desk during breaks and as needed Job Duty assist the Clinical Exam Center with SPE s, lab practical, SIM labs and/or Skills labs Job Duty facilitate faculty travel approvals, expense reports and reimbursements/dues Job Duty order faculty books Job Duty create student pronunciation badges each academic year Job Duty keep track of student pairing issues Job Duty manage print out of lab files and post student pairings outside of lab activities for EPC labs Job Duty initiate action as necessary for the handling of work items and issues particularly those related to departmental faculty, staff, and students Job Duty order and maintain paper, stationary supplies for DCOM faculty and staff Job Duty manage Staples orders for the Clinical Medicine department Job Duty assist clinical faculty with data management, proctoring labs/exams, formatting exam questions Job Duty operate and maintain office equipment Job Duty maintain conscientious work ethic to include punctuality, professional dress and demeanor Job Duty take minutes for division and department meetings or as assigned Job Duty assist clinical faculty with data entry, proctoring labs/exams, formatting exam questions, and entering graded SOAP notes in gradebook Job Duty facilitating reimbursements/dues Job Duty assist with classroom quizzes Job Duty assist other administrative staff with overflow work and phone coverage Job Duty complete institutional and program accreditation reports and other reports necessary for the operation and advancement of the University Job Duty perform other duties as assigned Posting Detail Information Posting Number S05122P Job Open Date 04/07/2026 Job Close Date 09/30/2026 Open Until Filled No Special Instructions Summary About the Institution Lincoln Memorial University is a values-based learning community dedicated to providing educational experiences in the liberal arts and professional studies.
