Front Desk & Reception Client Engagement:
Greet clients warmly, answer incoming calls, and handle appointment scheduling.Scheduling & Coordination:
Efficiently manage the calendar to optimize providers' time; confirm appointments and handle rescheduling or cancellations.Customer Success & Retention:
Respond to client inquiries, provide helpful service information, and conduct post-visit follow-ups to gather feedback and address any concerns.Social Media Support:
Help create and schedule engaging social media content; monitor online reviews and client feedback. 2. Medical Assistant Duties Preparation & Patient Intake Welcome patients, escort them to treatment rooms, and verify all required consents are signed. Remove any makeup and apply a white headband to prepare for before/after photos. Take clear and standardized "before" photos (5 angles for fillers, specialty shots for lips/tox, etc.). Ensure eyes are open and capture any expressions (smile, kissy face, frown, raise brows) as appropriate. Ask about social media/video consent and document patient preferences. Consultation Support Discuss treatment goals, areas of concern, budget considerations, and brand preferences for injectable treatments (tox, fillers, etc.). Inquire about the patient's skincare routine and comfort options. Review or confirm pricing if needed. Procedure Preparation Clean and wipe treatment areas with alcohol; prepare gauze and alcohol pads on the tray. Show the injector's care plan to the patient (e.g., "Britt chart"). Draw up the required product(s), verify lot numbers and expiration dates, and place stickers in the chart. During the Procedure Assist the injector by having the next product ready and frequently swapping out used gauze or alcohol pads. Apply pressure as needed or dab with cotton tips. Capture video of the procedure upon request and send after-care instructions using the iPad. Post-Procedure & Wrap-Up Provide ice and chapstick for lip filler clients; provide ice packs for other filler treatments. Take after photos and escort the patient to the front desk for checkout. Pull recommended retail products for purchase. Clean and sanitize the treatment area, wipe down chairs, and complete any remaining chart notes. End-of-Day Tasks Restock medical supplies; add items to reorder list as needed. Dispose of trash and wipe down chairs. Return products to the fridge and confirm inventory levels. Communicate any injectable product amounts if running low. Qualifications & Skills Education & Experience High School Diploma or equivalent required. 1-2 years of administrative or customer service experience (ideally in a healthcare or spa setting) preferred Language Fluent in English and Spanish . (preferred) Clinical Skills Medical Assistant certification required. Comfortable with basic clinical duties such as blood draws, sanitizing treatment areas, and assisting during procedures. Soft Skills & Attributes Exceptional communication and interpersonal skills. Highly organized, detail-oriented, and punctual. Ability to multitask in a fast-paced environment.
