Job Description

Required Education
  • High School Diploma
  • Minimum experience required: 4 to 7 years of administrative experience (medical/healthcare setting highly preferred in lieu of formal education requirements).Required Skills
  • Confidentiality & Compliance:
    Exceptional discretion; ability to handle sensitive information and adhere to HIPAA and privacy regulations.
  • Document Processing:
    Proficiency with digital scanning, PDF creation, and handling digital fax/document routing systems.
  • Bookkeeping:
    Basic accounting, invoicing, or bookkeeping experience (managing, tracking, and processing invoices).
  • Office Systems:
    Sorting/distributing physical mail, maintaining digital and physical filing systems, managing general office data/emails.
  • Worker's Compensation (major plus): Familiarity with processing Worker's Compensation claims.
  • Organizational:
    Strong attention to detail, especially when pulling files and cross-referencing records.
  • Interpersonal:
    Professional, welcoming demeanor to handle in-person questions or visitors.
Independence:
Independent, proactive, adaptable, comfortable wearing multiple hats.
Key Responsibilities:
  • Receive, process, and manage highly confidential data, ensuring strict adherence to HIPAA and privacy regulations.
  • Process incoming mail, including formal medical records requests and legal subpoenas. Gather corresponding information from physical paper files, scan, and prepare secure PDF packages for requestors.
  • Manage incoming digital faxes; efficiently route Worker's Compensation claims to the appropriate insurance carriers.
  • Take ownership of basic accounting tasks, including managing, tracking, and processing invoices.
  • Sort and distribute physical mail, maintain digital and physical filing systems, and manage general office data/emails.
  • Assist with light HR administration tasks, ensuring employee and company data is kept completely secure and contained.
  • Serve as the welcoming face of the office, professionally handling any in-person questions or visitors.
