This is a high-impact, high-responsibility role that sits at the intersection of operations, legal risk, and patient trust. You will lead the medical records function, serve as the organization's HIPAA privacy leader, and act as a trusted partner within the company to ensure we operate compliantly at scale. This role is ideal for someone who thrives in structured environments, understands healthcare risk deeply, and enjoys building efficient, scalable processes.
Essential Functions & What You'll Own:
1. Medical Records Operations You will fully own the performance and evolution of the medical records function, including all incoming and outgoing records requests including Release of Information (ROI), subpoenas and court orders, and disability and third-party documentation requests. You will ensure all records are released accurately, properly authorized, and within appropriate scope. Responsibilities include establishing and enforcing service-level agreements (SLAs) for all request types, monitoring request volume, backlog, and turnaround times, manage existing processes to ensure scalable workflows as volume grows, and identify and eliminate inefficiencies in current processes 2. Team Leadership & Development Manage and develop the Medical Records team Set clear performance expectations tied to SLAs and accuracy Coach team members on quality, compliance, and efficiency Ensure proper coverage and workload distribution Build training and onboarding materials for new team members 3. HIPAA Privacy & Compliance Leadership You will serve as the primary owner of HIPAA/privacy compliance across the organization. Maintain and enforce HIPAA policies and procedures Ensure compliance with all applicable federal and state privacy regulations Act as the internal subject matter expert on: privacy rules, minimum necessary standard, and permitted disclosures Monitor regulatory changes and update internal practices accordingly 4. Incident Management & Risk Mitigation Lead investigations into potential privacy incidents or breaches Document findings, determine risk level, and drive resolution Ensure proper reporting and documentation for compliance purposes Partner with leadership and legal counsel when needed Identify root causes and implement preventative measures 5. Legal & High-Risk Request Handling Review complex or sensitive records requests (e.g., subpoenas, legal disputes) Ensure appropriate consent, scope, and documentation before release Partner with legal counsel on escalated or ambiguous situations Support clinicians navigating difficult records-related scenarios 6. Training & Organizational Enablement Develop and deliver HIPAA and privacy training for new hires and ongoing staff education Serve as a go-to resource for internal teams and clinicians Provide clear guidance on records handling, privacy questions, and compliance best practices 7. Process, Systems & Audit Readiness Build and maintain SOPs for all medical records and compliance workflows Ensure audit readiness at all times (internal and external) Identify opportunities for automation or system improvements Partner with Technology and Operations teams on system enhancementsWhat You Bring:
Experience 5+ years in medical records, healthcare compliance, or HIPAA/privacy roles Experience managing medical records requests (ROI, subpoenas, third-party requests, etc.) Experience handling or supporting compliance investigations Prior team leadership or strong demonstrated readiness to step into a management role Experience working within a behavioral health or multi-provider group practice setting (strongly preferred) Education & Credentials A bachelor's degree in health information management, healthcare administration, or a r related field is preferred. Relevant certifications such as RHIT, RHIA, CHC, or CHPS are a plus but not required—demonstrated experience and knowledge carry equal weight. Knowledge Deep understanding of HIPAA regulations, healthcare privacy requirements, and medical records release standards Familiarity with behavioral health EHR platforms (e.g., Valant, TherapyNotes, or similar) Familiarity with multi-state regulatory environments (strong plus) Skills Extremely detail-oriented with a strong risk mindset Strong judgment in ambiguous or high-risk situations Ability to balance speed with accuracy and compliance Excellent communication skills—able to guide both clinicians and non-clinical teams Process-oriented thinker who enjoys building systems and structurePay:
