Job Summary We're a fast-paced tree service company looking for someone who can handle phones, scheduling, and keep our crew running efficiently. This is a high-responsibility role. The phone rings, schedules change, and you'll be the one keeping everything organized.
We are seeking a dynamic and highly organized Office Manager to oversee daily office operations and ensure a smooth, efficient workplace environment. This role is vital in coordinating administrative functions, managing communication channels, and supporting team productivity. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive attitude to keep the office running seamlessly. Bilingual proficiency and experience with office management tools are highly valued to enhance team collaboration and customer support. Duties Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing exceptional customer service. Oversee calendar management, scheduling appointments, meetings, and coordinating events to optimize team efficiency. Maintain accurate records through data entry, filing, proofreading, and document management using Microsoft Office and Google Workspace tools. Handle clerical tasks such as filing, photocopying, mailing, and organizing office supplies to ensure a well-stocked workspace. Support bookkeeping activities using QuickBooks or similar accounting software for invoicing and expense tracking. Assist with personal assistant duties, including travel arrangements and personal scheduling for executives. Provide support for medical or dental reception duties when necessary, including patient check-in and appointment coordination. Ensure proper phone etiquette and professional communication across all channels while managing multi-line phone systems efficiently. Implement organizational strategies that improve office workflow, time management, and overall productivity. Requirements Proven experience in office management or administrative roles with a strong background in clerical support and customer service. Proficiency in customer relations management software), and computer literacy skills. Experience with QuickBooks or other bookkeeping software is preferred.
