Position Summary The School of Nursing Contracts and Office Manager will be responsible for overseeing the end-to-end lifecycle of contracts to ensure strict adherence to regulations, while simultaneously directing day-to-day facilities operations, inventory, and building logistics. In this multi-faceted role, the individual executes critical HR onboarding and database management tasks using Banner, Argos, and PeopleAdmin, handles clinical travel reimbursements, and maintains robust compliance with HIPAA and FERPA guidelines during data reporting. Additionally, they provide essential administrative support to faculty, staff and students, manage building reservations and testing facilities, and actively serve on multiple School of Nursing committees. This position is governed by state and federal laws and agency/institution policy. Job Duties and Responsibilities Contracts Manager Maintains accurate files and correspondence regarding clinical contracts Initiates and maintains all external and internal contracts Complies with the Arkansas State Board of Nursing by reviewing all active contracts annually Researches and analyzes data necessary for reports Assists in developing or revising policies, procedures, and directives based on research findings Office Manager Submits work orders for the School of Nursing/IHS building Processes onboarding and termination procedures for faculty and staff Maintains all communication links for current personnel Manages phone systems
  • adding and removing users Processes clinical travel mileage reimbursements Manages supplies used and replenishes workrooms as needed Acts as Originator for PeopleAdmin for clinical adjunct faculty Maintains personnel files for clinical adjunct faculty Manages inventory for the School of Nursing and Nabholz Center for Healthcare Simulation
  • IHS Assists with ordering and purchasing as needed Researches, develops, and prepares Banner and Argos data reports Updates the Table of Contents in Nursing Google Shared drive Provides data to the School of Nursing Director as needed to make requests for resources and develop mandatory reports.
Maintains faculty, staff, and student special recognitions Updates all courses each semester in Banner Manages room reservations within the School of Nursing/IHS building Coordinates with departments across campus for reservations outside of the IHS building Manages School of Nursing testing materials and facilities (testing calendar, totes, supplies, etc.) Administrative Responsibilities Upkeeps work rooms including School of Nursing mail, copy machines, paper supply, etc. Monitors and distributes faxes, both inbound and outbound Monitors Nursing Admissions email during Pre-Licensure BSN application period Uses knowledge of HIPAA & FERPA and other regulations when maintaining files and corresponding with agencies Educates faculty and staff with Google Workspace Manages basic student inquiries and refers students to UCA resources and departments Updates Faculty / Staff handbook annually Assists other School of Nursing staff and faculty as needed Other responsibilities as assigned School of Nursing Committees Submits application material changes and updates to School of Nursing Website Committee Serves on Nursing Staff Council

  • develops, revises, and recommends administrative policies and procedures based on research findings Serves on Website Committee Serves on the Activities and Special Ceremonies Committee Knowledge, Skills, and Abilities To successfully perform this role, the candidate must possess a comprehensive blend of regulatory knowledge, technical proficiency, and advanced organizational abilities.
Professionally, they must maintain a strong working knowledge of HIPAA and FERPA regulations to handle confidential records, alongside a firm grasp of contract lifecycles and human resource processes required for onboarding faculty. Technically, the position demands proficiency in higher education databases such as Banner, Argos, and PeopleAdmin, as well as high level of advanced skills in Google Workspace and data analysis techniques. Ultimately, the successful candidate must have the ability to multitask seamlessly in a high-volume environment, collaborate effectively across various campus departments, and exhibit the strong communication skills needed to assist students, support faculty, and positively represent the School of Nursing on university committees. Required Education and/or Experience The formal education equivalent of a high school diploma; one year of specialized training in business management, business education, or a related field; and/or three years of experience in specialized or a related field applicable to work performed. Additional requirements determined by the agency for recruiting purposes require review and approval by the Office of Personnel Management.

Preferred Education and/or Experience Preference will be given to applicants with an Associate's or Baccalaureate Degree in business (business management, accounting, office management) or related field. Preference will be given to applicants with 2 or more years of experience in data management and analysis. Preference will be given to applicants with a high level of expertise in database applications and other systems or applications used within the University (ex: ARGO, BANNER, EMS, etc).
