This role works closely with the Practice Manager and physicians to ensure exceptional patient service, efficient workflows, and a positive team environment. Position Summary The Medical Office Supervisor assists in overseeing the day-to-day activities of non-physician staff, ensuring high productivity, smooth operations, and a consistently excellent patient experience. This role requires strong leadership, deep understanding of clinical and administrative workflows, and the ability to function autonomously while supporting both front office and medical records functions. Key Responsibilities Operational Oversight Supervise daily activities of non-physician staff to maintain productivity and workflow efficiency. Continuously monitor practice operations and recommends improvements to enhance performance and patient flow. Oversee front office functions including reception, scheduling, patient services, and check-in/check-out processes. Manages medical records operations, ensuring accurate record keeping, timely processing, and compliance with privacy standards. Support appropriate clinical areas as needed to maintain smooth operations. Leadership & Staff Development Train, coach, and motivate staff to achieve performance expectations and maintain high service standards. Assist with staff scheduling, workload distribution, and daily assignments. Serve as a liaison between physicians and non-physician staff to ensure clear communication and effective patient care. Compliance & Policy Management Assist in maintaining office policies and procedures in alignment with physician requirements, facility standards, and system guidelines. Ensure adherence to HIPAA, documentation standards, and organizational protocols. Front Office & Medical Records Integration Converts between front office and medical records functions as needed to support operational demands. Maintain efficient workflows for scanning, indexing, releasing, and managing patient records. Technical & Administrative Competencies Demonstrate strong working knowledge of referrals, prior authorizations, and insurance processes, medical record filing etc. Navigate multiple systems and platforms with accuracy and efficiency. Manage multiple tasks simultaneously while maintaining attention to detail and service quality. Qualifications 3+ years of experience in a medical office setting required; supervisory experience strongly preferred. Strong understanding of daily medical practice workflow (front office, scheduling, medical records, and patient services). Knowledge of insurance plans, referral and authorization processes, and EMR systems. Excellent communication, leadership, and problem-solving skills. Ability to work independently, prioritize effectively, and support a high-volume environment.
