Job Description

Position Summary We are seeking an experienced, highly accountable healthcare operations leader to oversee the daily administrative and operational performance of a growing specialty medical practice. This leadership position is responsible for driving operational excellence, optimizing Revenue Cycle Management (RCM) performance, fostering a culture of accountability, and ensuring an exceptional patient and provider experience. The ideal candidate is a decisive leader who thrives in a fast-paced, high-performance environment. They possess exceptional organizational skills, strong business acumen, and the ability to build productive relationships with physicians, staff, patients, and external business partners. Success in this role requires excellent communication, attention to detail, dependability, sound judgment, and the ability to lead by example while maintaining the highest standards of professionalism. This position reports directly to owner(s)/executive leadership. Primary Responsibilities Operational Leadership Direct all daily practice operations to ensure efficient, compliant, and patient-centered workflows. Develop, implement, and monitor operational policies, procedures, and performance standards. Evaluate operational metrics and identify opportunities for continuous process improvement. Ensure consistency in patient flow, provider scheduling, staffing utilization, and overall office efficiency. Promote a culture of accountability, professionalism, teamwork, and continuous improvement. Maintain consistent, proactive communication with ownership by providing timely, accurate updates on operational performance, strategic initiatives, key challenges, and project milestones. Ensure owner(s)/executive leadership maintains clear visibility into organizational priorities through regular status reporting, early identification of risks, and solution-oriented recommendations. Collaborate with practice administration, ownership, and other organizational leaders on practice initiatives. Other duties as assigned by owner(s) Revenue Cycle Management (RCM) Oversee front-end and back-end revenue cycle processes to maximize financial performance. Partner with internal teams and external billing resources to improve claims submission, reimbursement, denial management, collections, and payment posting accuracy. Monitor key performance indicators including accounts receivable, collection rates, denial trends, aging reports, and reimbursement performance. Identify workflow improvements that strengthen revenue integrity and operational efficiency. Ensure accurate collection of patient financial responsibility while maintaining a positive patient experience. Leadership & Team Development Recruit, onboard, mentor, and develop high-performing employees. Establish clear performance expectations and provide regular coaching and feedback. Conduct performance evaluations and address employee relations matters professionally and consistently. Facilitate regular staff meetings focused on communication, operational updates, accountability, and organizational goals. Foster cross-functional collaboration between clinical, administrative, and business operations teams. Patient Experience Champion exceptional customer service throughout every patient interaction. Serve as the primary escalation point for complex patient concerns and service recovery. Monitor patient satisfaction trends and implement initiatives that improve the overall patient experience. Ensure consistent adherence to patient privacy, confidentiality, and regulatory standards. Financial & Administrative Oversight Oversee payroll administration, scheduling, staffing plans, and workforce productivity. Monitor daily financial reconciliation processes and ensure accurate reporting and internal controls. Manage relationships with key vendors, technology partners, and contracted service providers. Support budgeting initiatives and operational planning in partnership with executive leadership. Clinical Operations Support Collaborate with providers and clinical leadership to optimize schedules and resource utilization. Ensure operational support for clinical workflows, referrals, prior authorizations, surgery coordination, and patient communications. Maintain oversight of inventory, equipment readiness, and office organization. Support compliance with all applicable federal, state, and organizational regulations, including HIPAA and OSHA requirements. Experience managing healthcare operations, medical office administration, or physician practice management. Working knowledge of medical terminology, insurance verification, scheduling, and healthcare reimbursement processes. Experience with practice management systems and electronic medical records (EMR/EHR). Demonstrated success improving operational performance, workflow efficiency, and team engagement. Bachelor's degree in Healthcare Administration, Business Administration, or a related field preferred; equivalent experience will be considered.
