Job Overview We are seeking a highly organized and experienced Pediatric Dental Office Manager to oversee daily operations of our pediatric dental practice. The ideal candidate will possess strong leadership skills, comprehensive knowledge of medical and dental office management, and experience working with electronic health records systems. This role is vital in ensuring efficient clinic workflows, compliance with healthcare regulations, and delivering exceptional patient care. The Pediatric Dental Office Manager will coordinate administrative functions, supervise staff, manage financial processes, and uphold the highest standards of patient confidentiality and safety. Responsibilities Oversee daily clinic operations, ensuring smooth workflow and high-quality patient service Supervise administrative staff, including scheduling, training, and performance evaluations Manage fiscal responsibilities such as budgeting, billing, coding, and financial reporting using systems like Eaglesoft and Dentrix Ensure compliance with HIPAA regulations and maintain accurate medical records within EMR/EHR systems such as eClinicalWorks or Epic Coordinate with clinical staff to support nursing and dental teams in delivering pediatric care Monitor clinic performance metrics and implement process improvements for efficiency Handle human resources functions including hiring, onboarding, and staff development Maintain compliance with healthcare standards such as JCAHO requirements and managed care policies Oversee inventory management of dental supplies and medical equipment Facilitate communication between patients, insurance providers, and external healthcare entities Ensure adherence to safety protocols and infection control procedures Skills Proven experience in medical office management within a dental or healthcare setting, preferably pediatric dentistry Strong knowledge of dental practice management software such as Eaglesoft, Dentrix, or eClinicalWorks Familiarity with EMR/EHR systems and healthcare regulations including HIPAA compliance Excellent leadership and supervisory skills to manage office staff effectively Financial management expertise including budgeting, billing, coding, and revenue cycle management Ability to handle medical administrative support tasks with attention to detail in medical records and documentation Knowledge of medical terminology relevant to pediatric dentistry and healthcare operations Experience in human resources functions such as hiring, training, and staff development Strong organizational skills with the ability to multitask in a fast-paced environment Effective communication skills for interacting with patients, staff, vendors, and external partners This position offers an opportunity to lead a dedicated team in providing exceptional pediatric dental care while ensuring operational excellence.
