Job Summary We are seeking an energetic and highly organized Office Manager to lead our administrative operations and ensure a smooth, efficient workplace environment. This pivotal role involves overseeing daily office functions, managing administrative staff, coordinating communication channels, and maintaining a welcoming atmosphere for clients and team members alike. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive attitude to keep the office running seamlessly. Duties Supervise daily office operations, including front desk management and administrative support functions Manage multi-line phone systems, answer inquiries with professionalism, and direct calls appropriately Oversee calendar management and scheduling for meetings, appointments, and events Maintain accurate data entry records using software such as QuickBooks, Microsoft Office, and Google Workspace Handle clerical tasks including filing, proofreading documents, and managing correspondence Support bookkeeping activities and basic financial record keeping Coordinate office supplies procurement and inventory management to ensure smooth workflow Provide exceptional customer service by assisting visitors, clients, and staff with inquiries and support needs Maintain a professional front desk presence with excellent phone etiquette and customer support skills Assist with personal assistant duties as needed, including travel arrangements or special project coordination Experience Proven experience in office management or administrative roles within a busy environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools Familiarity with QuickBooks or similar bookkeeping software is preferred Experience managing multi-line phone systems and front desk operations Bilingual abilities are highly desirable to serve diverse client needs effectively Prior clerical experience including filing, proofreading, calendar management, and document organization Excellent organizational skills with the ability to prioritize tasks efficiently Demonstrated customer service excellence with strong phone etiquette and professional communication skills Knowledge of medical or dental receptionist duties is a plus but not required Personal assistant or medical receptionist experience will be considered advantageous for this role Join us as an Office Manager to lead our administrative team with enthusiasm!
