Job Description

Overview We are seeking a Dynamic, confident, hard working and motivated Office Manager to perform a variety of skilled tasks and responsibilities whilst delegating and overseeing managerial and administrative duties in a fast paced Doctor's office with a great team in a spa like setting. The Office Manager is responsible for supervising and coordinating all staff activity (team of 10) and performance to help improve productivity, teamwork and ensure efficiency. Implementing structure and procedures and co-ordinating the Dr's schedule. Medical experience essential, Cardiology experience preferred, Corporate experience a plus. Responsibilities and Duties (include but are not limited to)
  • Maintain a safe, secure and healthy work environment following standards and procedures that comply with OSHA and HIPPA regulations
  • Work harmoniously with staff and The Doctor
  • Perform outstanding customer service with ease and grace
  • Develop and maintain a close working relationship with referral sources
  • Organize and participate in Marketing & PR activities to promote the practice
  • Observe and monitor patient flow activities throughout the day
  • Monitor production goals on a weekly basis
  • Prepare productivity, goals and objectives and other pertinent reports and utilize information to create corrective action plans
  • Work alongside the biller to ensure coding is inputted and reimbursed correctly
  • Assist with Provider documentation and credentialing for all participating health plans
  • Ensure team are completing medical records accurately and in a timely manner
  • Assist Human Resources Manager with recruitment, interviewing and hiring of team member and ensure that quality training is completely in a timely and efficient manner
  • Motivate staff to maximize their potential and provide constructive solutions to problems
  • Supervise staff and ensure responsibilities are delegated and followed through
  • Monitor employee performance and provide regular feedback
  • Work with staff on quality standards and customer service
  • Monitor all patient care staff for appropriate customer service behavior
  • Coordinate and complete monthly team meetings
  • Co-ordinate staff schedules and Doctor's weekly work and on-call schedule
  • Assist Doctor in maintaining current status with local hospitals and insurance companies
  • May have to assist back office or front desk if staff are absent
  • Participation in educational opportunities, seminars, conferences and continuing education courses
  • Implement and enforce all legal provisions and company policies and procedures outlined in the Employee handbook
  • Happy and positive attitude with the ability to follow directions and use sound judgement Skills and Abilities
  • Bilingual in Spanish a major plus
  • Excellent communication and interpersonal skills
  • Excellent Leadership and management skills
  • Ability to thrive in a fast paced environment and quickly prioritize tasks
  • First class organization and time management skills as well as outstanding problem solving and multi-tasking
  • Ability to work independently with minimal supervision and to stay cool, calm and confident and fill-in as needed Requirement
  • Knowledge of OSHA and HIPPA Compliance Standards Required
  • Knowledge of medical terminology
  • Knowledge of HR management Qualifications
  • High School Diploma
  • Bachelors Preferred
  • Advanced knowledge of medical terminology
  • Expert knowledge with insurance practices
  • Working knowledge of and Electronic Medical Record software
  • Advanced knowledge of CPT Codes, modifiers and procedures
  • Advanced understanding of HIPAA rules and regulations Experience
  • At least 5 years of office manager/supervisory experience
