As the backbone of our administrative team, you will ensure smooth office functions, foster a welcoming atmosphere for visitors and staff, and manage essential clerical and operational tasks with precision and enthusiasm. Your expertise will help create an organized, productive, and positive workplace where everyone can thrive. Responsibilities Oversee daily office operations, including managing supplies, equipment, and facilities to ensure optimal functioning. Serve as the primary point of contact for incoming calls using multi-line phone systems; practice professional phone etiquette at all times. Manage front desk duties such as greeting visitors, handling inquiries, and directing guests efficiently. Coordinate calendar management and scheduling for meetings, appointments, and events using productivity software like Microsoft Office and Google Workspace. Maintain accurate data entry records, files, and documentation while ensuring confidentiality and organization through effective filing systems. Support bookkeeping activities using ; handle basic invoicing, expense tracking, and financial record keeping. Provide excellent customer service support by addressing client inquiries promptly and professionally across various communication channels. Assist with administrative tasks such as proofreading documents, managing correspondence, and supporting personal assistant duties as needed. Facilitate office management tasks including organizing supplies, overseeing office maintenance, and ensuring a clean, safe environment. Utilize computer skills to enhance productivity; demonstrate technical proficiency in office management tools to streamline workflows. Qualifications Proven experience in office management or administrative roles with strong clerical skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and familiarity with productivity software. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Strong communication skills with an emphasis on phone etiquette; bilingual abilities are a plus to serve diverse clients and staff. Demonstrated ability to handle data entry accurately while maintaining attention to detail; proofreading skills are advantageous. Previous experience working as a receptionist or medical/dental receptionist is beneficial for understanding front desk operations. Knowledge of multi-line phone systems and technical proficiency in computer literacy tools required for efficient office management. Ability to manage time effectively while juggling multiple responsibilities; experience supporting executive or personal assistant functions is preferred.
