We are a PPO, HMO, and Denti-Cal practice focused on providing exceptional patient care in a welcoming, modern, and team-oriented environment. We are looking for an experienced Dental Office Manager who is passionate about patient care, enjoys leading by example, and is excited to help us continue building an outstanding practice. This is a hands-on leadership position where you'll oversee the front office while supporting the clinical team whenever needed. Position Summary This is not a desk-only management position. We're looking for someone who enjoys being involved in every aspect of the practice—from answering the phone and helping patients schedule appointments to insurance billing, treatment follow-up, and supporting the back office when necessary. The ideal candidate is experienced, organized, proactive, positive, and thrives in a fast-paced environment. Most importantly, they love working with people and enjoy creating an exceptional experience for both patients and teammates.
Responsibilities:
Front Office Operations Manage the day-to-day operations of the front office. Answer incoming calls with professionalism and warmth. Schedule new and existing patients efficiently. Confirm appointments and minimize schedule gaps. Follow up with recall patients to maintain a productive hygiene schedule. Contact patients with pending treatment and help them schedule recommended care. Present financial arrangements and collect patient payments. Maintain accurate patient records and documentation. Deliver exceptional customer service at every patient interaction. Insurance & Billing Verify PPO, HMO, and Denti-Cal insurance eligibility and benefits. Submit insurance claims accurately and promptly. Follow up on outstanding insurance claims, denials, and appeals. Post insurance payments and patient payments. Monitor insurance aging and patient balances. Understand coordination of benefits and insurance guidelines. Help maximize collections while maintaining outstanding patient relationships. Administrative Leadership Coordinate daily office operations and workflow. Work closely with the doctor and clinical team to maintain an efficient schedule. Help train and support front office team members. Maintain office supplies and administrative inventory. Identify opportunities to improve office systems and patient experience. Foster a positive, collaborative, and accountable team environment. Clinical Support (Preferred) While this is primarily a front office leadership position, we value team members who are willing to help wherever needed.
Preferred experience includes:
Seating patients. Taking digital radiographs (X-rays). Assisting with room turnover and operatory setup. Sterilization and instrument processing. Supporting the clinical team during busy periods. An active California DA license is highly preferred but not required. Office Organization & Maintenance During slower clinical periods or non-patient care time, you'll help ensure the practice remains organized and running efficiently by: Organizing operatories and storage areas. Restocking dental supplies. Helping maintain a clean, professional office environment. Assisting with inventory management. Supporting both the front and back office wherever needed.
Qualifications Required:
Minimum of 3 years of dental office management or senior dental front office experience. Strong knowledge of PPO insurance verification, billing, and collections. Experience working with HMO and Denti-Cal insurance. Experience submitting and following up on insurance claims. Excellent communication and customer service skills. Strong organizational and multitasking abilities. Ability to work independently while leading a team.
