Job Description

Job Summary We are seeking a dynamic and organized Office Manager / Bookkeeper to oversee daily office operations while managing essential bookkeeping responsibilities. This vital role combines administrative leadership with financial oversight, ensuring the smooth functioning of our office environment and accurate financial record-keeping. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, including bilingual proficiency, to support our team and clients effectively. Duties Manage front desk operations, greeting visitors and handling multi-line phone systems with professionalism and courtesy Maintain a welcoming office environment by overseeing clerical tasks such as filing, data entry, proofreading, and document organization Handle calendar management and scheduling for team members, appointments, and meetings using Google Workspace and Microsoft Office tools Perform bookkeeping duties using QuickBooks to process invoices, track expenses, reconcile accounts, and maintain accurate financial records Provide exceptional customer service by supporting client inquiries via phone or email, ensuring prompt and helpful responses Support office management tasks including supply ordering, maintenance coordination, and implementing organizational systems to enhance efficiency Assist with personal assistant duties as needed, including travel arrangements, correspondence management, and other administrative support Qualifications Proven experience in office management combined with clerical or administrative roles; prior experience in medical or dental reception is a plus Strong computer literacy across Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and QuickBooks accounting software Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Bilingual proficiency preferred to assist diverse clients and team members seamlessly Demonstrated customer service skills with professional phone etiquette and effective communication abilities Experience with data entry, filing systems, proofreading documents, and managing multi-line phone systems Familiarity with office equipment such as printers, scanners, and fax machines; ability to troubleshoot basic technical issues Strong time management skills with the ability to multitask efficiently while maintaining attention to detail Join our team as an Office Manager / Bookkeeper where your organizational prowess combined with financial acumen will help us create a productive workspace.
