This position provides leadership and coordination for administrative functions, workflow management, staff support, compliance activities, and operational improvement initiatives to ensure efficient practice operations and an exceptional patient experience. The Administrative Lead provides administrative direction and operational support to office staff while all clinical supervision, patient care, and medical decision-making remain under the direct authority of the Physician. Key Responsibilities Administrative Leadership & Practice Operations Serve as the administrative lead for practice staff, providing guidance, support, and accountability related to office procedures, documentation standards, and administrative expectations. Assist with staff scheduling, cross-coverage coordination, onboarding, and training support for new employees. Support the Practice Owner/Physician with administrative tasks, special projects, and operational initiatives. Assist in the development, implementation, and ongoing maintenance of practice policies, procedures, and administrative protocols. Coordinate efforts between the in-office and the outsourced services Promote a positive, collaborative, and professional work environment. Workflow Oversight & Coordination Provide day-to-day oversight of administrative workflows, ensuring efficient coordination between office functions. Coordinate staffing coverage, administrative assignments, and workflow adjustments in collaboration with the Practice Owner/Physician. Monitor operational processes and identify opportunities to improve efficiency, accuracy, and service quality. Serve as a resource for staff regarding administrative procedures, workflow expectations, and office operations. Assist in resolving operational issues and escalating concerns to the Physician when appropriate. Compliance & Quality Support Support compliance with HIPAA and applicable federal, state, and healthcare regulatory requirements. Assist with quality improvement initiatives, safety programs, and practice accreditation activities. Monitor administrative processes to promote accuracy, confidentiality, consistency, and compliance. Maintain required records, logs, and documentation related to administrative and regulatory requirements. Administrative Support & Coordination Manage administrative correspondence, forms, reports, and documentation. Coordinate vendor relationships, office services, and administrative resources as needed. Monitor office supply inventories and coordinate purchasing activities. Assist with human resources administrative functions, including personnel documentation, onboarding support, and record maintenance. Prepare reports, track operational metrics, and support practice planning activities. Qualifications High school diploma or equivalent required; associate or bachelor's degree preferred. Minimum of three years of administrative experience, preferably in a healthcare environment. Previous experience in a lead, supervisory, or office management role preferred. Strong organizational, time management, and multitasking skills. Excellent verbal and written communication skills. Proficiency with Microsoft Office and healthcare software systems. Ability to maintain confidentiality and exercise sound judgment when handling sensitive information. Strong problem-solving skills with a proactive and detail-oriented approach. Work Environment This position primarily operates in a professional medical office environment and requires frequent interaction with physicians, staff, patients, vendors, and external partners. Regular use of computers, phones, printers, and other standard office equipment is required. Additional Expectations As a small practice, teamwork and flexibility are essential. All employees may be required to perform duties outside their primary job responsibilities to support overall practice operations and ensure continuity of patient care. Employees are expected to provide cross-coverage for one another during absences due to vacation, illness, or other reasons. Employees must coordinate time off in advance and may be required to adjust Paid Time Off schedules during periods when the physician is out of the office or the Practice is closed.
