Job Description
The Oaks School in Hollywood, California is seeking an experienced office manager to join our community. Reporting to the Head of School, the ideal candidate will bring strong organizational and customer service skills to this role. This position provides oversight of the administrative offices, among other duties. Candidates should not only have excellent administrative and interpersonal skills but also possess a deep understanding of school culture, a passion for working with elementary students, and a strong commitment to diversity, equity, and inclusion. Specific Responsibilities Include:
Assists in the day-to-day operations of the back office Maintains calendars, answers phone, files, and other office duties Assists with the day-to-day administrative needs, including responding to parent emails and negotiating early dismissals and late arrivals. Oversees school communications - sends or creates mailings (primarily electronic mail, instagram, and some letter communication) Coordinate with Human Resources and the Business Office to organize and synthesize information. Serve as a liaison to faculty, administrative team, and school vendors Contribute to major institutional initiatives such as accreditation processes, leadership transitions, governance improvements, and system or portal enhancements. Supports occasional student facing responsibilities Provides administrative support for the administrative team Supports all school events (scheduling, communication and coordination) Responsible for communications with parents as needed Oversees Instagram, Facebook, and maintain the web page for the school including soliciting and developing content Works closely with the administrative team to help arrange for transportation and collect permission slips for field trips. Works closely with the Health and Wellness office for student health information or needs for day field trips, retreats or class trips Miscellaneous duties as assigned (for example, support for Progress Reports and teacher directed events) Other duties as assigned Qualifications Bachelor's Degree and at least two years of progressively responsible experience as an office assistant or similar role, preferably in an independent school, nonprofit, or mission-driven organization. Exceptional project management, organizational, written, and verbal communication skills with the ability to prioritize tasks. Demonstrated ability to handle highly confidential information with discretion and professionalism. Remain calm and poised in high-pressure situations. Strong project management skills with the ability to manage multiple priorities and deadlines. High level of initiative, judgment, and problem-solving ability. Proficiency with standard office technology, digital platforms, and document management systems. Ability to embrace a collaborative work style and interact in a positive and proactive manner with all school constituencies. Demonstrated commitment to belonging, inclusion, and cultural competency. Salary This is a permanent, full-time, non-exempt position and is eligible for The Oaks' comprehensive benefits package that includes paid time off, medical, vision, dental, and generous 403b retirement options. Salary range is between $45,000 and $65,000, depending on experience.
Schedule:
40 hours per week as follows: Monday- Friday with flexibility to work different shifts (including early mornings and evenings) and weekends when necessary. This is NOT a remote position.
