Well established and successful general dental and orthodontic practice in Pleasanton seeking an experienced manager to oversee the office. We are looking for an enthusiastic, organized, and friendly office administrator to join our team. We pride ourselves in providing the best care to our patients and working as a cohesive group. Dental experience is required. The Role The Practice Manager is responsible for the Practice's overall financial performance, safety, quality and patient experience by ensuring that the company's policies and processes are accurately executed on a daily basis. The Practice Manager works closely with the Regional Manager to ensure that our Mission, Purpose and Beliefs are supported and the overall vision is consistently executed upon.
Responsibilities include:
Manage to the Practice's stated production goals and corresponding financial plans Ensuring that the practice operations are functional and provide patient care in the most appropriate, efficient, and effective manner Managing personnel, including supervising staff, assisting at front desk as needed, recruiting, training, evaluating, resolving conflicts and rewarding Manage the overall patient flow within the Practice to achieve maximum efficiency Maximizing productivity of practice through efficient scheduling, billing and collections process Assisting in establishing and implementing goals, objectives, policies procedures and systems Marketing the practice to the community Expert on dental software, PPO billing, treatment planning, financial arrangements and following up on insurance claims and accounts receivable Determines work procedures, prepares work schedules, and expedites workflow. Issues written and oral instructions. Assigns duties and examines work for exactness, neatness, and conformance to policies and procedures. Manages problems and patient complaints in a timely manner by acting as a liaison between patients, staff and doctors. Researches and resolves the matter(s) elegantly. Leads team meetings and huddles based on what is going great and what needs improvement. Studies and standardizes procedures to improve efficiency of team members Maintains harmony among team members and resolves grievances. Outstanding interpersonal and leadership skills. Responsible for successfully onboarding and training all new staff members, as well as leading, mentoring, and coaching existing team members Manage all staff and doctor relationships to ensure that they are happy, contributing members to the overall team environment Partner with the Company's marketing team to ensure a localized marketing plan is executed on a consistent basis in line with the Company's vision Provide regular feedback to the Upper Management on employee performance and take an active role in leading the employee's annual review and any disciplinary actions Manage escalated patient complaints and resolve at Practice location Ensure strict compliance with all company policies and pertinent laws and regulations (HIPAA, OSHA, ADA, Dental Board, Employee Policy, Basic Labor laws, etc…) Other duties as assigned
