Exempt Scope and Responsibilities Kids Care Dental & Orthodontics is looking for an exceptional Orthodontic Business Manager to join our team! The Role The Orthodontic Business Manager plays a pivotal role in managing and supporting orthodontic operations across multiple practices. Reporting directly to the Director of Orthodontics, this position is responsible for achieving operational goals and supporting strategic initiatives aligned with the overall vision of Kids Care Dental & Orthodontics. This role will strengthen execution in the field, build capability within Area Managers and Practice Managers, and drive consistency and conversion performance across all locations. The goal is not to add dependency, but to scale performance through structure and accountability. The Orthodontic Business Manager will collaborate closely with orthodontic practice managers, treatment coordinators, RDA leaders, and RDAs, while ensuring that financial, operational, and patient care objectives are consistently met.
The Essential Job Elements:
1. Business Operations Management Oversee day-to-day business operations of orthodontic practices, ensuring patient care, staff efficiency, and business goals are achieved. Monitor practice performance metrics including treatment starts, conversion rates, same day start rates, and revenue per case—while identifying and implementing opportunities for improvement. Manage financial performance including revenue, expenses, labor costs, and purchasing to ensure the profitability of the orthodontic line of business. Maintain accountability for orthodontic P&L, ensuring financial performance aligns with company goals. Analyze financial reports and metrics to identify trends and implement corrective measures to improve profitability and operational efficiency. Work closely with the Director of Orthodontics to execute operational strategies, manage budgets, forecasts, and drive business growth. 2. Field Execution & Operational Discipline Conduct structured site visits to validate consult workflows, follow-up execution, and identify performance gaps in real time. Ensure follow-up completion, G&G usage, and conversion trends are tracked and actioned consistently across all locations. Ensure reported performance matches reality through regular audits of clinical and administrative practices. Support the rollout of new workflows, systems (Power BI, NexHealth, etc.), and ensure adoption and consistency across locations. Optimize the new patient consult experience to be consistent, value-driven, and conversion-focused. 3. Team Leadership and Development Lead and mentor practice managers, orthodontic treatment coordinators, and clinical teams to achieve performance and patient care goals. Coach Treatment Coordinators on conversion, financial conversations, and urgency. Train Area Managers on orthodontic KPIs and key business levers. Support Practice Managers in daily accountability and workflow execution. Provide regular feedback, coaching, and training to staff, promoting a culture of excellence and continuous improvement. Promote cross-training among staff and ensure new team members are onboarded and mentored to maintain high standards of patient care and operational efficiency. Serve as a liaison between clinical and administrative teams, ensuring smooth communication and coordination across departments. 4. Compliance and Quality Assurance Ensure compliance with all regulatory and company policies, including HIPAA, OSHA, ADA, and state dental board regulations. Address and resolve escalated patient concerns, ensuring patient satisfaction and care remain a top priority. 5. Strategic Initiatives Collaborate with the Director of Orthodontics to develop and execute long-term strategic goals for orthodontic business growth and operational improvement. Actively participate in new office launches and the integration of acquired practices into the orthodontic line of business. Lead local store marketing (LSM) initiatives to drive patient acquisition and retention. Support change management efforts and drive performance improvement through coaching, workflow validation, and data-driven adjustments. Desired Profile/Background 5+ years of dental or orthodontic practice experience highly preferred Familiarity with orthodontic billing, coding, and KPIs (conversion rates, same day starts, revenue per case) Strong understanding of both front and back office duties Proven leadership skills with an affinity for developing and coaching others Experience with practice management and reporting systems (Power BI, NexHealth, or similar) Excellent communication and computer skills; basic Excel knowledge required Strong problem-solving skills with a can-do attitude Upbeat, approachable personality is a MUST Patient-focused team player with excellent customer service skills Strong attention to detail with the ability to multi-task in a fast-paced environment Must lead by example—going above and beyond is part of their DNA
