This role is vital in ensuring smooth administrative workflows, exceptional customer service, and efficient office management. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with the ability to juggle multiple responsibilities while maintaining a positive and energetic attitude. Duties Oversee all front desk operations, greeting visitors and managing multi-line phone systems with professionalism and warmth Maintain organized filing systems, data entry, and accurate record-keeping using Microsoft Office, Google Workspace, and other office software Manage calendar scheduling, appointment setting, and calendar management for executives and team members Handle clerical tasks such as proofreading documents, preparing correspondence, and managing office supplies inventory Provide exceptional customer service by supporting clients, vendors, and internal staff with inquiries and administrative needs Perform bookkeeping duties including invoicing, expense tracking, and basic QuickBooks data entry to ensure financial accuracy Coordinate office maintenance, manage office equipment, and ensure a clean, safe working environment Qualifications Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and computer literacy in general Excellent phone etiquette with experience handling multi-line phone systems and customer support Bilingual abilities are preferred to effectively communicate with diverse populations Prior clerical experience including data entry, filing, proofreading, and calendar management is essential Knowledge of bookkeeping software such as QuickBooks or similar tools is highly desirable Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment Experience working as a medical or dental receptionist or personal assistant is a plus but not required
