Pediatric Medical Office Job Overview:
We are seeking an experienced Assistant Office Manager to support the daily operations of a busy pediatric medical office. The ideal candidate will have experience working in and helping manage a pediatric or medical office setting, with strong leadership skills, excellent communication, and the ability to step into a fast-paced environment. This position will help oversee front office operations, support staff, assist with patient flow, and work closely with the Office Manager, physicians, and team members to ensure the office runs smoothly and patients receive excellent care. Training and regular job duties may take place at either of our office locations, so candidates must be comfortable working at both sites as needed.
Essential Functions Include, But Are Not Limited To:
Assist the Office Manager with daily office operations and staff coordination. Help lead, train, and support front office and back office staff as needed. Ensure patient check-in, check-out, scheduling, phones, referrals, authorizations, and other office workflows are handled efficiently. Monitor patient flow and help resolve issues that may impact the schedule or patient experience. Communicate professionally with patients, parents, physicians, staff, and management. Support the team in maintaining accurate and confidential patient records. Assist with processing referrals, authorizations, forms, records requests, and other administrative tasks. Help ensure office policies and procedures are followed consistently. Assist in resolving patient concerns in a professional and compassionate manner. Provide coverage and support in front office or back office areas when needed. Use EMR/EHR systems and basic office software to complete daily tasks. Help maintain a clean, organized, and professional office environment.
Additional Responsibilities:
Recognize and respond appropriately to urgent situations according to office protocols. Help maintain office supplies, forms, patient materials, and general office organization. Maintain a professional appearance and personal conduct at all times. Establish and maintain effective working relationships with physicians, staff, and management. Effectively handle the stress and demands of a busy pediatric office. Multi-task efficiently and adjust priorities as needed throughout the day. Assist with staff communication, workflow improvements, and problem-solving. Perform other duties as assigned.
Qualifications:
Experience working in a pediatric medical office is preferred. Prior leadership, lead, supervisory, or assistant management experience in a medical office is strongly preferred. Knowledge of medical office workflows including scheduling, insurance, referrals, authorizations, patient communication, and EMR/EHR use. Strong communication, organization, and problem-solving skills. Ability to lead by example and support staff in a positive, professional manner. Basic computer skills including scanning, emailing, typing, and working with electronic records. Must be dependable, adaptable, and able to work well in a fast-paced environment. Medical Assistant certification or completion of a vocational/technical medical program is preferred but not required.

From $31.00 per hour
