Practice Operations Manager Bridges of the Mind Psychological Services, Inc. | Sacramento, CA (In-Person) Are you someone who enjoys creating structure, improving workflows, and ensuring that systems run reliably and consistently? Bridges of the Mind Psychological Services is seeking a Practice Operations Manager (POM) to serve as the operational backbone of our organization. This role is essential to maintaining a structured, well-coordinated clinical environment where services are delivered with precision and care. The Practice Operations Manager plays a critical role in: Maintaining reliability across core administrative and operational systems Reinforcing consistency in workflows and processes Supporting operational clarity so clinicians and leaders can focus on their highest-impact work This is a highly structured role with a clear scope, designed for someone who values precision, consistency, and follow-through. What You Will Do In this role, you will oversee and coordinate the systems that support daily operations across the practice. Operational Systems Management Own and maintain core administrative systems, including scheduling, intake, documentation tracking, and billing coordination Ensure systems are executed consistently and accurately Maintain and update standard operating procedures (SOPs) Identify patterns in system breakdowns and surface opportunities for improvement Workflow & Process Reliability Reinforce adherence to established workflows Monitor system performance and identify friction points Escalate systemic issues and support sustainable solutions Support training and reinforcement of processes across the team Administrative Coordination Coordinate day-to-day administrative workflows Provide clear guidance to administrative staff to reduce ambiguity Support vendor coordination and basic facility operations Assist with benefits-related administrative processes Compliance & Credentialing Systems Maintain credentialing trackers, licensing records, and required documentation Ensure files are organized, current, and audit-ready Monitor payer credentialing and contract status Scheduling & Operational Flow Monitor clinician schedules to support consistent utilization Identify patterns in scheduling challenges and coordinate improvements Oversee scheduling platforms to ensure accuracy Billing & Revenue Cycle Coordination Support billing workflows and ensure accurate processing Track claims issues and coordinate resubmissions Identify patterns in denials or delays Data Tracking & Operational Visibility Track key operational metrics such as scheduling utilization and intake timelines Ensure data is accurate and accessible Compile reports for leadership Highlight trends that inform improvement Cross-Functional Coordination Serve as a central point of coordination across teams Ensure communication is clear and consistent Reinforce shared expectations and processes Continuous Improvement Identify opportunities to improve workflows and reduce administrative burden Support implementation of process improvements Approach challenges with curiosity and practicality Who Will Thrive in This Role The strongest fit for this role is someone who enjoys creating order, maintaining consistency, and ensuring that systems function smoothly over time. We are especially looking for someone who: Values structure, predictability, and operational clarity Is highly organized and detail-oriented Demonstrates strong reliability and follow-through Can identify workflow breakdowns and escalate appropriately Communicates clearly across teams Maintains clear role boundaries and avoids overextension Finds satisfaction in building systems that run efficiently and consistently Qualifications Required Experience 3-6 years of experience in operations, practice management, or healthcare administration Experience managing workflows such as scheduling, intake, or billing Preferred Knowledge of and prior experience using ClickUp Experience in a healthcare, psychological assessment, or outpatient clinical setting Core Skills Strong organizational and process management skills High attention to detail and accuracy Ability to maintain consistency across workflows Clear and effective communication Compensation Hourly range: $34.62 - $38.46/hour, based on experience. In Addition, Bridges of the Mind is excited to offer the following: Medical, dental, and vision insurance for full-time team members, effective the first of the month following your start date $25,000 life insurance policy for full-time team members, effective the first of the month following your start date 401(k) Safe Harbor plan with employer match: 100% of employee contributions up to the first 3% of pay, and 50% of contributions on the next 2%, beginning after 12 months of employment Paid time off accrued at a rate of 8 hours per 160 hours worked, with increased accrual at 3 and 5 years 7 paid holidays plus 1 floating holiday 5 days of paid sick leave Additional perks include opportunities for raises and referral incentives for bringing on new hires.
