Position Summary We are seeking an experienced, highly organized, and motivated Office Manager to oversee the daily operations of our busy dermatology and aesthetics practice. The ideal candidate is a proactive leader with strong healthcare administration experience, exceptional customer service skills, and the ability to manage staff, operations, and patient satisfaction while maintaining a positive workplace culture. Key Responsibilities Practice Operations Oversee day-to-day office operations to ensure efficient workflow and exceptional patient service. Develop and implement office policies, procedures, and operational improvements. Monitor scheduling efficiency, patient flow, and clinic productivity. Coordinate facility maintenance, vendor relationships, and office supplies. Team Leadership Recruit, train, supervise, and evaluate administrative and clinical support staff. Foster a collaborative, professional, and patient-focused work environment. Conduct staff meetings and support ongoing employee development. Manage staffing schedules and assist with performance management initiatives. Patient Experience Ensure outstanding customer service and patient satisfaction. Address patient concerns and resolve issues promptly and professionally. Maintain a welcoming and efficient front-office experience. Financial & Administrative Management Monitor office budgets, revenue cycle processes, and operational expenses. Oversee billing, collections, insurance verification, and authorization workflows. Assist with payroll processing and financial reporting. Track key performance indicators and prepare management reports. Compliance & Quality Assurance Ensure compliance with HIPAA, OSHA, and healthcare regulations. Maintain accurate records and support accreditation or regulatory requirements. Implement quality improvement initiatives and risk management procedures. Qualifications Bachelor's degree in Business Administration, Healthcare Administration, or related field preferred. Minimum 3-5 years of medical office management experience; dermatology, plastic surgery, or aesthetics experience strongly preferred. Demonstrated leadership and team management experience. Knowledge of medical billing, insurance processes, and healthcare compliance requirements. Proficiency with electronic medical records (EMR) systems, Microsoft Office Suite and QuickBooks. Excellent organizational, communication, and problem-solving skills. Ability to manage multiple priorities in a fast-paced environment. Preferred Qualifications Experience managing dermatology or cosmetic practice. Familiarity with cosmetic treatment scheduling and patient consultation workflows.
