This pivotal role combines administrative expertise with clinical understanding to ensure smooth clinic functioning, exceptional patient care, and compliance with healthcare regulations. As a Medical Office Manager, you will oversee staff management, financial oversight, and the implementation of office procedures, fostering a positive environment that promotes efficiency and high-quality service delivery. Your energetic and effective leadership will drive the success of our practice, ensuring that both staff and patients experience seamless healthcare experiences. This is a full-time, in-office position ideal for someone who thrives in a fast-paced healthcare environment and is passionate about delivering exceptional care to children and their families. Qualifications Proven prior experience in medical office management or health care administration within a clinical setting OR minimum of 5 years' experience as a Medical Assistant or Medical Receptionist Demonstrated supervisory experience managing multidisciplinary teams in a healthcare environment Strong leadership and team management skills Excellent communication and organizational abilities with the ability to handle multiple priorities efficiently while maintaining attention to detail Thorough understanding of medical office workflow , including: Staff supervision Scheduling coordination Medical billing processes Knowledge of managed care processes and utilization management practices within healthcare settings Experience with EMR/EHR systems (required) Knowledge of HMO plans, contracting, and CCS billing (required) Expertise in fiscal management including budgeting, financial reporting, billing procedures, and managing practice expenses Familiarity with HIPAA regulations, medical terminology, medical records management, and compliance standards Key Responsibilities Oversee daily office operations to ensure efficiency and high-quality patient care Manage and support office staff , including scheduling and performance oversight Ensure a smooth workflow across front and back office functions Maintain a positive, professional environment focused on patient and parent satisfaction Ensure proper and timely payments from patients and insurance groups Keep insurance group contracts organized and timely Manage compliance trainings / attestations for various insurance groups, as well as recertifications for various hospitals/ surgery centers for the provider Oversee and manage any conflicts or grievances that may arise from patients/ parents Facilitate communication between clinical staff and external providers or managed care organizations to streamline patient care processes Monitor clinic performance metrics and utilize data analytics for continuous improvement initiatives in healthcare delivery Coordinate monthly team meetings to address / discuss any issues, updates, or solutions to problems What We're Looking For Someone with the patience of a saint and a genuine love for working with children A natural leader who can balance structure with compassion A team player who brings efficiency , positivity , reliability , and problem-solving skills to the workplace ✨ Bonus points if you come with wings and a halo!
