Job Description

Job Summary:
We are seeking a dedicated and experienced Ortho Practice Manager with at least 1 year of relevant experience to oversee the daily operations of our orthodontic practice. The successful candidate will be responsible for managing administrative tasks, coordinating patient care, and ensuring the smooth functioning of the practice. This role requires strong leadership skills, excellent communication abilities, and a deep understanding of orthodontic practice management.
Responsibilities:
Manage day-to-day operations of the orthodontic practice, including staff scheduling, patient flow, and office administration. Supervise and support administrative staff, orthodontic assistants, and other team members. Ensure adherence to clinic policies, procedures, and standards of care. Oversee patient scheduling, appointment management, and follow-up procedures to optimize clinic efficiency and patient satisfaction. Coordinate with orthodontists and other healthcare providers to ensure seamless patient care and treatment coordination. Handle patient inquiries, concerns, and complaints in a professional and timely manner, striving to achieve high levels of patient satisfaction. Manage billing, insurance claims, and financial transactions, ensuring accuracy and compliance with regulatory requirements. Implement and maintain electronic health records (EHR) systems and other practice management software to streamline workflows and enhance productivity. Monitor and manage inventory levels of clinical and office supplies, ordering as needed to maintain adequate stock levels. Conduct regular staff meetings, training sessions, and performance evaluations to promote professional development and team cohesion. Collaborate with external vendors, suppliers, and healthcare professionals to support the operational needs of the practice. Stay updated on industry trends, regulatory changes, and best practices in orthodontic practice management, incorporating relevant updates into clinic operations.
Qualifications:
Bachelor's degree in healthcare administration, business management, or related field (preferred). Minimum of 1 year of experience in orthodontic practice management or healthcare administration. Strong leadership skills with the ability to motivate, mentor, and manage a diverse team of healthcare professionals and administrative staff. Excellent communication and interpersonal abilities, with the capacity to interact effectively with patients, staff, and external stakeholders. Proficiency in practice management software, electronic health records (EHR), and Microsoft Office Suite. Knowledge of billing, coding, insurance claims processing, and financial management principles in a healthcare setting. Detail-oriented with strong organizational and multitasking skills, capable of prioritizing tasks and managing competing demands in a fast-paced environment. Understanding of regulatory requirements and compliance standards governing healthcare practices, including HIPAA regulations.
