Job Description

Job Summary We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This vital role involves overseeing administrative functions, managing front desk activities, coordinating communication, and ensuring a smooth workflow across departments. The ideal candidate will be proactive, detail-oriented, and possess excellent organizational and interpersonal skills. As an Office Manager, you will play a key role in fostering a productive and welcoming workplace while supporting the team with administrative excellence. Responsibilities Manage front desk operations, including greeting visitors, handling multi-line phone systems, and providing exceptional customer service. Oversee office supplies inventory, procurement, and filing systems to ensure efficiency and organization. Coordinate calendar management, appointment scheduling, and meeting arrangements for staff and executives. Utilize computer skills to perform data entry, maintain records, and prepare correspondence using Microsoft Office and Google Workspace tools. Handle clerical tasks such as proofreading documents, managing incoming/outgoing mail, and maintaining accurate filing systems. Support bookkeeping activities using QuickBooks or similar accounting software to assist with invoicing and expense tracking. Provide bilingual support as needed to assist diverse clients or team members effectively. Maintain office equipment and troubleshoot basic technical issues related to computers or multi-line phone systems. Assist with personal assistant duties or special projects that enhance overall office productivity. Ensure proper phone etiquette is maintained at all times while managing customer support inquiries professionally. Experience Proven office management experience with a strong background in administrative support roles. Demonstrated clerical experience including data entry, filing, proofreading, and document management. Familiarity with office software such as Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and QuickBooks for bookkeeping tasks. Experience working at a front desk or reception area in a professional setting; dental or medical receptionist experience is a plus. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Strong communication skills with proficiency in phone etiquette and customer service principles; bilingual abilities are highly valued. Knowledge of time management techniques to prioritize tasks effectively while maintaining attention to detail. Previous experience supporting personal or executive assistants is advantageous but not required.
