Job Description

Job Summary We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our busy office environment. This vital role ensures smooth administrative workflows, maintains efficient communication channels, and provides exceptional support to staff and visitors alike. The ideal candidate will be proactive, detail-oriented, and possess strong multitasking abilities to foster a productive and welcoming workplace. Your leadership will help uphold our professional standards while creating an engaging atmosphere that promotes teamwork and efficiency. Duties Manage all aspects of office operations, including supply procurement, equipment maintenance, and facility management to ensure a well-functioning workspace Serve as the primary point of contact at the front desk, and handling inquiries with professionalism and warmth Operate multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette Coordinate calendar management for executives and team members, scheduling meetings, appointments, and conference rooms efficiently Oversee clerical tasks such as data entry, filing, proofreading documents, and managing correspondence to support administrative workflows Utilize software tools like Microsoft Office, Google Workspace, QuickBooks, and other computer applications to streamline office processes Provide exceptional customer service by supporting clients, vendors, and staff with their needs promptly and professionally Maintain accurate records of all office activities, including invoices, receipts, and employee documentation for compliance and reporting purposes Support bookkeeping duties as needed to ensure financial accuracy and timely processing of payments Requirements Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and QuickBooks accounting software Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Strong computer literacy with familiarity in data entry, filing systems, proofreading, and document management Exceptional phone etiquette skills with experience managing multi-line phone systems in a professional setting Bilingual abilities are highly desirable to support diverse client and staff interactions Previous experience as a dental or medical receptionist or personal assistant is a plus but not required Ability to handle confidential information discreetly while maintaining accuracy in recordkeeping Strong time management skills with the capacity to multitask efficiently across various responsibilities Join us as an Office Manager where your energy fuels our success!
