Kids Therapy Connection is seeking an experienced, professional, and fully bilingual Assistant Office Manager / Office Manager Assistant to support our current Office Manager in a fast-paced pediatric medical office . The ideal candidate must have strong medical office experience, excellent communication skills, and the ability to multitask while staying organized and professional. This position will assist with daily office operations, scheduling, billing-related tasks, parent communication, staff coordination, administrative follow-up, and confidential HR documentation. This is a hands-on support role for someone who is dependable, detail-oriented, and comfortable working with families, children, providers, and staff in both English and Spanish. Responsibilities Assist the current Office Manager with daily office operations Help manage scheduling, cancellations, reschedules, and appointment reminders Communicate with parents, patients, providers, and staff in English and Spanish Answer phone calls, emails, and office messages professionally Assist with billing-related tasks, insurance follow-ups, and administrative documentation Help with patient intake forms, authorizations, records, and office paperwork Support the flow of a busy pediatric office and help keep daily operations organized Assist with staff communication, schedule changes, task tracking, and follow-up Help maintain organized office files, patient records, and administrative systems Assist with HR documentation, employee files, onboarding paperwork, and internal staff forms Help track staff paperwork, certifications, training documents, and required forms Maintain confidentiality when handling patient, family, staff, and office information Support the Office Manager with projects, reports, daily priorities, and office procedures Provide excellent customer service to families in a professional and friendly manner Maintain accuracy, professionalism, and attention to detail at all times Required Qualifications Minimum 5 years of medical office experience required Fully bilingual in English and Spanish required Experience working in a busy medical, pediatric, therapy, or healthcare office Experience with patient scheduling and office coordination Strong computer, phone, email, and administrative skills Excellent customer service and communication skills Ability to multitask in a fast-paced environment Strong organization and follow-through Professional, reliable, punctual, and detail-oriented Able to work directly under the Office Manager and follow office procedures Comfortable handling confidential patient and employee information Able to communicate professionally with parents, children, providers, and staff Preferred Experience Medical billing experience Insurance verification or authorization experience Experience managing or helping supervise front desk/office staff Experience with EMR, EHR, billing, or scheduling systems Pediatric office experience Therapy office experience HR documentation or onboarding paperwork experience Ideal Candidate The ideal candidate is someone who has worked in a medical office for at least 5 years, understands the importance of scheduling, billing, documentation, and customer service, and can support the Office Manager in keeping the office running smoothly. This person should be able to stay calm under pressure, prioritize tasks, communicate clearly, protect confidential information, and work well in a pediatric environment.
