Arthur Godfrey Road Miami Beach, FL 4441 Stirling Road Hollywood, FL 9620 Stirling Road, Cooper City, FL Operations & Administrative Management Oversee daily office operations Open and close the facility as needed Ensure policies and procedures are followed Coordinate provider and staff schedules Manage treatment room utilization and efficiency Organize meetings and staff communications Maintain office organization and workflow Trackk KPIs Human Resources & Staff Management Manage employee schedules and PTO requests Monitor attendance and timekeeping Coordinate shift coverage Assist with recruiting, interviewing, and onboarding Schedule training and continuing education Coordinate interns, shadows, and student observers Conduct performance check-ins and coaching Assist ownership with employee relations issues Patient Experience & Customer Service Address and resolve patient complaints and concerns Ensure high levels of patient satisfaction Handle escalated customer service situations Monitor online reviews and patient feedback Ensure front desk professionalism and service standards Provider Support Coordinate schedules for providers, medical assistants, and support staff Assist with provider onboarding and credential tracking Ensure providers have necessary supplies and support Help manage clinic flow and patient scheduling efficiency Inventory & Vendor Management Monitor retail and clinical inventory levels Verify incoming inventory is received and documented Coordinate supply ordering Maintain inventory logs and organization Work with pharmaceutical and aesthetic representatives Schedule lunch-and-learn events and vendor visits Compliance & Documentation Maintain personnel files Ensure required certifications and licenses remain current Support HIPAA compliance efforts Assist with OSHA and workplace safety requirements Maintain employee and operational documentation Financial & Business Support Review daily production reports Monitor scheduling gaps and cancellation rates Assist with payroll preparation Track office expenses Support sales goals and retail performance initiatives Help implement operational improvements Ideal Qualifications 3-5+ operations experience Medical office, medspa, dental office or healthcare management experience Strong leadership and conflict-resolution skills Experience with scheduling software and EMRs HR and personnel management experience Excellent communication and organizational abilities Customer service focused Ability to multitask in a fast-paced environment
