Job Description

We are a busy Personal Injury medical clinic seeking a reliable, detail-oriented Front Desk Coordinator who can also take on Office Management responsibilities. This role requires someone comfortable working with PI cases, handling high patient volume, coordinating with attorneys, and managing insurance verification and documentation. Our office is open Mondays, Wednesdays, Thursdays, and Fridays 9:30a to 6:30p with lunch from 1-2p.
Key Responsibilities:
Front Desk Duties:
Greet and check in personal injury patients in a professional and compassionate manner Answer multi-line phones and schedule new and follow-up appointments Perform patient intake, including detailed accident information and demographics Verify insurance coverage (auto/PIP, MedPay, health insurance) and document benefits Collect co-pays and manage patient balances when applicable Maintain an organized and efficient front office environment
Personal Injury Case Coordination:
Communicate with attorneys, case managers, and insurance adjusters Ensure all required documentation for PI cases is complete and accurate Track liens, letters of protection (LOPs), and case status Assist in coordinating care and documentation for ongoing PI cases Assist in submitting specialist and diagnostic referrals .
Administrative & Clinical Support:
Scan, upload, and organize patient records into the EHR system Maintain accurate and compliant patient charts Ensure all documentation meets legal, insurance, and HIPAA requirements Support providers with patient flow and documentation needs
Office Management Responsibilities:
Oversee daily front office operations and staff workflow Train and support front desk team members Monitor office performance and implement process improvements Manage office supplies and vendor coordination Handle patient concerns and ensure a high level of customer service Assist with reporting and administrative oversight related to PI cases
Qualifications:
Experience in a personal injury or chiropractic/medical office (strongly preferred) Knowledge of PIP, MedPay, liens, and Letters of Protection (LOPs) Experience verifying insurance and handling PI case documentation Familiarity with EHR systems Strong multitasking and organizational skills in a fast-paced environment Excellent communication skills with patients, attorneys, and staff Leadership or management experience preferred
Preferred Skills:
Bilingual (Spanish) is a plus Experience with PI billing processes Strong attention to detail and ability to manage multiple cases simultaneously
Job Type:

$22.00 - $25.00 per hour
